FieldRoutes calls it: Trigger Rule, Trigger Type, AR
From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks
In FieldRoutes this block is mostly one thing the research could open in full: Trigger Rules, the event, filter and action automation engine under Admin > Preferences > Office Settings. Around it sit several integration surfaces that show the vocabulary but no live connection: the Webhook trigger action, QuickBooks sync events and a QuickBooks permission, Partner Sites / Apps (partner-site slug, E-Commerce widget, Marketing Pro SMS table), "API" and "Website Deals" as scheduling and payment origins, an ADP payroll export, a Sentricon flag and a developer API reference that would not load. The research has 37 screenshots for this block (21 placed here and 16 from other blocks). 25 of them are the trigger rule list, the 12 trigger types, the action editors and the placeholder catalog. The account is an admin view, and the research was read-only: no rule was saved or fired, no webhook was called and no external system was connected.
In short
Trigger Rules is the automation engine. Each rule has a description, an office scope, start and end dates and an Active state. It has one of 12 trigger types, filters specific to that type, and one or more actions. All of this was observed as unsaved editors (229-trigger-rules, 230-trigger-rule-editor).
Actions reach far beyond messages. They can add flags, create invoices, freeze customers, put subscriptions on hold, set the collections stage, send email, SMS, voice or postal mail, and call a webhook (231-trigger-rule-action-editor). One rule can therefore touch service, money and customer contact at the same time.
Balance scope depends on the action. For an AR rule, Create Invoices applies its age, past-due and balance filters per invoice. Messages, flags, collections stage and freeze use the responsible customer's balance and aging instead. Freeze also freezes subscriptions on other accounts that customer pays for (249-trigger-action-freeze). This was observed in tooltips but not tested.
The Webhook action is the only observed outbound integration. It supports HTTP GET or POST, a URL, request headers and a JSON body, and it accepts placeholders (252-trigger-action-webhook). The manual warns that invalid webhook JSON may fail silently (Documented).
ACH Return and Chargeback triggers work only with FieldRoutes Payments. They do not fire for other payment processors (Observed on the page text, 235-trigger-ach-return, 236-trigger-chargeback).
The integration surfaces are not live connections. QuickBooks events, the QuickBooks permission, launcher Discover links, Export to ADP, Sentricon Connected and API or Website Deals options name integrations. None proves that an integration is licensed, connected or working.
The assessment rates Automation as high confidence for how visible the configuration is, but low for execution order, retries and recovery. It rates Integrations, migration and exit as low confidence: no required connection worked and no migration or exit was rehearsed (assessment).
Each capture is a saved screen state from the FieldRoutes account on 2026-11-02. A screen shows what controls exist; it does not prove what happens when they are used.

List of event-based automation rules with Global and Visibility filters, search and + Trigger; columns Trigger Type, Description, Global, Start Date, End Date, Active. With Visibility = Active and Global = All the list shows only its headers: no active rule is saved in this account (inactive rules were not listed).
Trigger form with description, scope, start/end dates, active state and one of 12 types (ACH Return, AR, Appointment Status, Auto Payment, Chargeback, Customer Status, QuickBooks, Reminders, Renewal, Subscription Due, Subscription PO, Subscription Status). The AR type filters by balance age or days past due, balances, customer status, unit and property type, flags, divisions, collections stage, paper preference and convenience-payment invoices. Not saved.
Action list for an AR trigger: add flags, create invoices, freeze customers, place subscription on hold, send email, SMS, mail or voice, set collections stage, webhook. The open Create Invoices action takes a fixed or percentage value and a service type; its tooltip says AR filters then apply per invoice. Nothing run.
Reference list of variables usable in automated messages: customer and billing name and address, account and portal login link, amount due, balance age, responsible balance and days overdue. The list is clipped here; capture 546 with its detail images shows all 24.
Filters for an appointment-status trigger: status changed to (canceled, completed, not serviced, pending, rescheduled, scheduled), on save or after a time, initial service, locked period, multi-unit, appointment type, and include/exclude service types, flags, divisions and regions. Not saved.
Filters for an automatic-payment trigger: account status, balance age bucket or custom range, AutoPay type (ACH, card, any), minimum and maximum balance, property type and flags. Captured after the loader finished. Not saved; no charge made.
Filters for customer status changes (active, created, frozen, pending cancel, any), on save or after a time, multi-unit, property type, flags and divisions. Not saved.
Trigger on QuickBooks sync events with yes/no for alerts, conflicts, automatic sync and connectivity issues. Shows the event surface only, not a connected QuickBooks account. Not saved.
Renewal automation: days before or after due, expiry, next billing or renewal date, with account and subscription status, property type, initial service, has email, prefers paper, renewal amount range and segment filters. Not saved.

Where: Admin > Preferences > Office Settings > Trigger Rules > + Trigger (Subscription Due for Service) Captured: 2026-11-02 16:18 UTC · Quality: clear
Automation when a subscription is due for its next service: days before/after due (default 1 day before), service plan inclusion, initial service done, multi-unit, property type and segment filters. Not saved.
Automation keyed to purchase order expiry on a subscription: days before/after PO expiration plus multi-unit, service type/plan, flag, division and region filters. Not saved.
Automation on subscription status changes (active, agreement sent, frozen, lead created, subscription created), on save or after a time, agreement signed or not, property type, plan, multi-unit, initial service and segment filters. Not saved.
Action that freezes the account with a cancellation reason and message. The tooltip warns it also freezes subscriptions on other accounts the customer is financially responsible for. Not saved; nothing frozen.
Before partner sites such as PestReviews.org and SimplyPest.com can be enabled, the office needs a permanent URL 'slug' (company subdomain, dash, office identifier, lowercase letters only). The page warns the slug cannot be changed once set because it would break links and SEO, and shows the two slug fields and a Save Office Slug button. Nothing was saved; despite the index wording, no customer portal settings are shown here.
The unsaved AR trigger rule with Show Placeholders expanded, listing all 24 message variables: portal login link, portal URL and account number, customer ID/number, customer and billing name and address, email, total due, balance age, responsible balance and days past due. It is a reference list only; no rule ran and no message was sent.
Trigger Rule: A saved automation: an office-scoped, date-bounded, active or inactive definition that has a trigger type, filters and actions. Observed230-trigger-rule-editor
Trigger Type: The event that starts a rule. There are 12: ACH Return, AR, Appointment Status, Auto Payment, Chargeback, Customer Status, QuickBooks, Reminders, Renewal, Subscription Due for Service, Subscription PO, Subscription Status. Observed230-trigger-rule-editor
AR (trigger type): A receivables trigger. It selects accounts or invoices by balance age or days past due and by balance range. It is not a report. Observed230-trigger-rule-editor
Action: What a rule does when it fires. Each action has its own editor and its own balance scope. Observed231-trigger-rule-action-editor
Placeholders: Variable names such as {{totalDue}} or {{loginLink}} that a message or webhook can contain. They are names only, not resolved values. Observed546-trigger-placeholders-clear
FieldPortals: The customer portal's name inside placeholder descriptions ({{loginLink}}, {{portalURL}}, {{username}} = FieldPortals Account Number). Observed546-trigger-placeholders-clear
Responsible balance: The balance of the customer who is financially responsible. Most AR actions use it, but Create Invoices uses invoice-level filters instead. Observed tooltips 231-trigger-rule-action-editor, 244-trigger-action-email
Webhook: A trigger action that sends an HTTP GET or POST to an external URL with headers and a JSON body. Observed252-trigger-action-webhook; Documented: silent failure on invalid JSON
Ignore Contact Prefs: An option on the Email and Voice actions to override the customer's channel preferences. It is configurable, but no override was exercised. Observed244-trigger-action-email, 246-trigger-action-voice
Freeze Customers (action): Freezes the account with a cancellation reason and message. It also freezes subscriptions on other accounts that customer pays for. False friend: this is different from a subscription hold and from an A/R statement hold. Observed tooltip 249-trigger-action-freeze
Place Subscription On Hold (action): Pauses a subscription with a reason, an option to cancel pending appointments, and notes. The manual says a hold removes due work and pauses recurring billing. Observed250-trigger-action-hold; Documented (Trigger Rules manual)
Collections Stage: An account classification: Not Sent, Pending or Sent. It can be a filter or an action. Observed251-trigger-action-collections-stage
FieldRoutes Payments: FieldRoutes' own payment processing. ACH Return and Chargeback triggers work only with it. The Payment History screen carries a "with Payrix" label. Observed235-trigger-ach-return; billing controls
Partner Sites: Partner listing sites such as PestReviews.org and SimplyPest.com. They need a permanent office slug first. Observed266-partner-sites-status
Office slug: A permanent URL identifier: the company subdomain, a dash and an office identifier in lowercase letters only. It cannot be changed once set. Observed266-partner-sites-status
Website Deals / API (Who Can Schedule): Integration channels allowed to book into a route template's spots, next to staff categories. Observed368-route-templates-clear
Payment Origin: API, Trigger, Import, Customer Portal ...: The recorded source of a payment. It records where the payment came from, not proof that it was authorized. ObservedPayment History controls, 510-payment-history-detail-attempt
Sentricon Connected: A subscription filter (N/A/No/Yes) for a termite-monitoring integration flag. It does not prove that this account is connected. Observed426-subscription-filters-lower
Discover (app launcher): Marketing links to add-on products. False friend: a listed product is not an enabled module. Observed374-app-launcher

Menus, pages and settings where this block appears 13 menu paths
Admin > Preferences > Office Settings > Trigger Rules: the rule list with scope and active filters, search and + Trigger (229-trigger-rules). With Visibility = Active and Global = All, the list showed only its column headers: no active rule is saved in this account. Inactive rules were not listed. The Office Settings menu itself is in 127-admin-preferences.
Billing > Payment History: the Payment Origins filter includes API and Trigger. A failed card payment detail shows API as its origin (510-payment-history-detail-attempt).
Integrations holds and watchesService agreements and renewals: the Subscription Status, Subscription Due, Subscription PO and Renewal triggers, and the Place Subscription On Hold action. The manual says a hold removes due work and pauses recurring billing (Observed 250-trigger-action-hold; Documented).
Integrations is attributed inReporting and analytics: the Change Log Report shows Trigger Rule and System Change as "Changed by", and reports offer CSV, Excel and PDF exports (Observed 072-report-change-log).
Trigger rule setup (observed as unsaved editors; no rule ran)
Admin > Preferences > Office Settings > Trigger Rules lists the rules, filtered by scope and by active state, with search. The captured list (Active, All offices) was empty (229-trigger-rules).
+ Trigger opens the shared fields: Description, office scope, Start Date, End Date and Active/Not Active. Then the user picks one of the 12 trigger types. Each type shows different eligibility and timing controls, not one generic condition (230-trigger-rule-editor).
The user adds filters. They target or exempt populations by service types, service plans, customer, subscription or appointment flags, divisions, regions, property type and multi-unit status. How several filters combine (AND, OR, precedence) was not exercised. Many optional lists are empty in this account.
+ Action adds one or more actions, and Remove discards one. Show/Hide Placeholders shows the variable catalog.
Save and Cancel complete the form. Nothing was saved.
ACH Return and Chargeback: the page states these work only with FieldRoutes Payments and give no notifications for other processors (235-trigger-ach-return, 236-trigger-chargeback).
Customer Status:
When to Trigger: On Save or After Time.
Status Changed To: Active, Any, Created, Frozen or Pending Cancel.
Multi Unit, Include/Exclude Customer Flags, Divisions and Property Type.
QuickBooks: Yes/No for Alerts, Conflicts, Automatic Sync and Connectivity Issue. This shows the events a rule can listen to. It does not show a connected QuickBooks account (238-trigger-quickbooks).
Reminders:
When To Trigger: a required number of Days Before, or on check-in.
Multi Unit, Property Type and Is Initial Service.
Include/Exclude service types, appointment, customer or subscription flags, divisions and regions.
When To Trigger: On Save or After Time. The delay input was not opened.
Status Changed To: Active, Agreement Sent, Any, Frozen, Lead Created or Subscription Created.
Agreement Status: Any, Not Signed or Signed.
Property Type, Service Plan inclusion, Multi Unit and Has Initial Service.
Include/Exclude types, plans, customer and subscription flags, divisions and regions.
The research notes that source filters named only in a broad accessibility description were not visible as separate controls, so they are not claimed as inspected (243-trigger-subscription-status).
Actions and their scope (observed tooltips; nothing executed)
Create Invoices:
Takes a Value Type (Fixed or Percentage), a Value and a Service Type.
The tooltip says the AR age, past-due and balance filters then apply per invoice, not per customer.
The exact basis for the percentage was not tested.
The research summarizes that these actions "can influence service continuity, finance and customer contact together" (assessment §16).
Placeholder catalog (observed, AR trigger)
The 24 variables are:
Portal and account: {{loginLink}} (link to the customer's FieldPortals account), {{portalURL}} (link to FieldPortals), {{username}} (the FieldPortals Account Number).
These are template definitions, not resolved values or proof that a message was sent. The pane needs the top, two middle and bottom detail images for full visual coverage (546-trigger-placeholders-clear).
Other integration surfaces (observed setup only)
Partner Sites:
Enable Partner Sites shows a slug setup, not a completed integration.
The page warns that the slug cannot be changed once set, because a change would break links and SEO. The office component takes lowercase letters only.
Save Office Slug was not used. The capture index wording suggests portal settings, but no customer portal settings appear on this screen (266-partner-sites-status).
The Deals page describes an online journey: it stores or authorizes a card, schedules the initial and recurring appointments, creates a signed annual agreement and takes customer details. This is the page's own description, not a purchase made (263-deals). These belong mostly to Lead, sales and estimate.
Marketing Pro SMS Configuration:
The table has Office, Marketing Pro Status, SMS Status, Marketing Pro and SMS columns, but the saved capture shows no office row.
The capture owner later reported a live row with Marketing Pro "Not Onboarded" and SMS "Not Enabled". This is not substituted for the missing saved evidence (267-marketing-pro-settings).
On the Customer Card, the M Pro Sync button has the tooltip "Marketing Pro is not enabled" (014-customer-admin).
Route Templates:
Who Can Schedule offers All Office Staff, All Technicians, All Sales Reps, API and Website Deals. All Office Staff is selected.
So scheduling eligibility can name integration channels next to staff. How it is enforced was not tested (368-route-templates-clear).
Payment Origins:
Payment History can filter by origin: Manual, Customer Portal, Batch Process, Trigger, Collections, API, Import and Convenience Payment. The origin is a record, not proof of authorization.
An existing failed card payment shows API as its origin, the FieldRoutes Payments gateway and a system actor (510-payment-history-detail-attempt).
Integration-attributed history: customer history lists changes made by "FR-System-API", such as appointment status changes and contact field changes (014-customer-admin).
Change Log Report:
"Changed by" includes "Trigger Rule" and "System Change" next to employees.
It has Date, Offices, ChangedBy and Entities filters, Refresh and Export to CSV. The result table is empty for the captured day (072-report-change-log).
So rule-made changes are at least attributable in this report. That rule runs are logged was not proven.
ADP export:
The Time Clock Report has Export to Excel and Export to ADP. Its advanced options carry ADP fields: Comp. Code (ADP company code), Batch ID (ADP batch identifier), File Number (ADP file number) and Hrs. 3 Code, which maps Double Time to the ADP Hours 3 code.
Discover links advertise Marketing Pro (email, SMS and direct-mail automation), Fleet Pro (GPS fleet management), E-Commerce (an online service marketplace) and QuickBooks (financial management).
These are informational and marketing links. None was followed, and none proves a connection or a license (374-app-launcher).
Report exports: reports expose CSV, Excel and PDF output controls. These are outputs, not proven complete exports (assessment §13). See Reporting and analytics.
Developer API (documented, partly readable)
A web search found the FieldRoutes API Documentation (https://fieldroutes.dev/documentation), with customer, service-type, subscription, appointment and payment entities.
Its search-visible descriptions separate scheduling frequency from billing frequency, and appointment records from subscriptions. They also say an appointment linked to a subscription can inherit defaults and move the next due date when it is completed.
The live page returned only "Loading...". FieldRoutes' website API link redirected to https://knowledgebase.fieldroutes.com/apidocs, which the research tool could not fetch.
Treat this reference only as partial corroboration of the data model. No API request, credential or private record was used, and no numeric status or frequency encoding is reproduced (official-source checks).

Shared segment selectors
Include/Exclude Service Types, Service Plans, Customer/Subscription/Appointment Flags, Divisions and Regions. How they combine was not tested. Many lists are empty in this account.
Type-specific filters: see "Trigger types and their filters" above. Every control listed there comes from admin controls.
Set to Yes. The tooltip says turning it off removes portal review fields and affects website review collection for Marketing Suite/PestReviews users. The integration was not checked. (307-communication-section-26-editor)
Customer Communication, groups 0-1
Default SMS/Voice/Email; SMS/Voice/Email windows (9 AM-6 PM); Max SMS/Voice/Email per minute (2/2/20); Blocked Days for Sending Text Triggers and Phone Triggers (Sun-Sat); VoIP service (N/A or Voice for Pest) and VoIP Host URL
No trigger rule was saved, activated or fired. No invoice was created, no account frozen, no subscription held, no message sent and no webhook called. Every outcome above is configuration or tooltip text.
Trigger execution behavior is unknown:
processing order, retries and idempotency;
how overlapping rules are controlled, and whether reminder, AR and renewal rules can contact a customer twice;
how rule runs are audited;
dry-run preview, approval workflow, cancellation and recovery;
time zones and overnight cutoffs;
webhook delivery, validation and retries.
The Change Log Report names "Trigger Rule" as an actor, but it was empty for the captured day.
Several filter details were not opened or tested:
the time inputs behind "After Time" (Appointment, Customer and Subscription Status);
the Auto Payment custom age range bounds;
whether Renewal amount bounds are inclusive;
the percentage basis of Create Invoices;
the pre-recorded voice sub-editor.
No integration is shown as connected:
QuickBooks (events and permission only);
Fleet Pro and E-Commerce (launcher links only);
Marketing Pro (the M Pro Sync tooltip says not enabled; a live row was reported as not onboarded; the saved settings capture is empty and needs recapture);
SalesRoutes / Mobile Sales (subscription status Frozen, changes through support; 361-admin-salesroutes);
Sentricon (filter only);
ADP (export button only);
Partner Sites (slug not set);
E-Commerce widget and Deals (gated off).
The research did not establish:
API entitlement, authentication or limits;
event or webhook coverage and reliability;
vendor support;
accounting connectors or import capabilities;
export completeness or extraction of attachments and history;
payment-token transfer, deletion guarantees or migration cost.
No migration or exit rehearsal was done (assessment §13).
The developer API reference could not be read. fieldroutes.dev showed only "Loading..." and the Knowledge Base API docs could not be fetched.
The Trigger Rules manual has conflicting wording on whether a freeze deletes payment profiles. This needs vendor clarification (manual register).
The research leaves these acceptance questions open:
For each intended rule, what are the event, eligible records, time basis, balance scope, action, recipient, owner and recovery path?
Does invoice-level versus responsible-payer selection work as described on an approved multi-account example?
Which retroactive fees does a rule select?
Does each freeze remove stored payment methods?
For each required system and data flow, does the connection work, and on what commercial terms?
Does a migration and exit rehearsal with authorized sample data succeed? It should cover customers, sites, service arrangements, schedules, notes, documents, financial open items and history. Identifiers and totals must reconcile, unsupported fields must be documented and rollback must be tested.
How does the organization get a complete usable copy of its data on termination?
Final recaptures 539-547 were checked. Capture 546 now carries the full placeholder catalog that 232 clipped. These recaptures fix the display only. They do not show that a placeholder was run (coverage gaps).
Ideas for Our CRM
Agent proposals, not decisions
Proposal: model automation as rule = scope + dates + active state, plus one event type with type-specific filters, plus a list of actions, as FieldRoutes does.
Proposal: show the balance scope (per invoice or per responsible payer) on every money-related action, and list the accounts a freeze or hold would reach before activation.
Proposal: require review before activating any rule that creates invoices, charges, freezes service, cancels appointments or overrides contact preferences. The assessment proposes this as a business operating control; FieldRoutes has no proven built-in approval step.
Proposal: keep a run log per rule (records matched, actions done, failures, webhook responses) and validate webhook JSON on save, since the manual warns of silent failure.
Proposal: offer a dry-run preview and an overlap check so that reminder, AR and renewal rules do not contact one customer twice.
Proposal: keep "listed", "licensed" and "connected" as separate integration states in the UI, so marketing links are never mistaken for live connectors.
Proposal: record the origin and actor of every API or rule change, as FieldRoutes does with "FR-System-API", "Trigger Rule" and payment origins.
