FieldRoutes in Scheduling and appointments

FieldRoutes calls it: Job Pool, Due On, Appointment

From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks

Scheduling in FieldRoutes turns due work into dated appointments. Subscriptions carry the service cadence and produce due services. The Job Pool lists due services that have no future appointment. Office users book a visit from the Customer Card or from a Job Pool row through Recommended Routes, or let routing tools place it. Route Templates set the capacity as time spots, and dictionaries record why a visit was canceled, rescheduled, re-serviced or skipped. The research covered 89 screenshots here. They show the October and November calendar (many October days carry route and service counts), one opened day (October 16) with two routes, the Job Pool, Recommended Routes, Service Plan Management, the customer's appointments and subscription settings, the Admin setup pages, reminder settings, trigger rules and the scheduling reports. Read-only: no appointment was booked, moved, canceled or completed. The temporary scheduling context was canceled each time.

In short

  • Three different things: what is due, what is scheduled and what was visited. A due subscription is not a booked appointment. The Job Pool lists due work without a future appointment. "Next Service" on the Customer Card is a due date, not necessarily a booking (Observed, 556-job-pool-columns-clear, 435-populated-customer-overview; Documented, Job Pool manual).
  • Service cadence and billing cadence are separate settings. One observed subscription is serviced Every 90 Days and billed Monthly (437-existing-subscription-detail). Frequency is set on the Service Type and on each subscription. Custom Schedules allow month-by-month date or weekday rules (158-settings-custom-schedule-form).
  • Booking goes through a "Currently Scheduling" context and Recommended Routes. The dialog suggests route-days by distance (Max Miles), date range, route fullness and technician skills (557-recommended-routes-clear). Drag/drop and recommendations are the documented ways to place a visit (Documented, Job Pool manual). No visit was placed.
  • Capacity lives in Route Templates as time spots with standard duration, buffer, a timed-appointment limit, max spot capacity and a "Who Can Schedule" list that includes API and Website Deals (368-route-templates-clear).
  • Service Plans schedule ordered rounds with wait-after, dependency and late-join rules. Late enrollment auto-skips past rounds, and an opt-out persists across renewals, unlike a seasonal skip (Documented, Service Plan manual; Observed editor 138-settings-service-plan-round).
  • The visit status list is Pending, Completed, Not Serviced, Canceled, Rescheduled, Auto-Skip, Skipped, Opted-Out (418-service-appointment-filters-middle). Separate reason lists exist for cancel/no-show, reschedule, reservice and skip.
  • The assessment rates scheduling/routing evidence as Medium. The calendar and day are populated, but the two displayed routes are unassigned, and optimization and constraint enforcement are untested (assessment).

Their words for this block 29

Job Pool: Queue of due services with no future scheduled appointment. Rows are due services, not unique customers; one customer can repeat for different services. Observed 556-job-pool-columns-clear; Documented, Job Pool manual
Due On / Days: Service due date and a signed day count. Every captured row shows a negative Days value (for example -4 to -126, and -671 for the 2025-01-01 rows), so negative seems to mean days past due; no positive value was seen to confirm the rule. Observed 032-job-pool-advanced
Appointment: A dated visit. It keeps who scheduled it and when, a link to its route and the subscription it belongs to. Observed 448-customer-appointment-detail
Stand-Alone Service or Reservice: Visit association choice instead of a subscription. Stand-alone work is filterable apart from subscription-backed work. Observed 448-customer-appointment-detail, 420-service-appointment-filters-lower
Reservice: Return visit (call-back). It has its own reason list and its own Service Type flag ("Is this a reservice"). Observed 155-settings-reservice-reasons, 540-service-type-editor-clear
Currently Scheduling: Temporary mode holding one customer's scheduling context with an X to dismiss. It is not a booking. Observed 029-customer-schedule, 557-recommended-routes-clear
Recommended Routes: Dialog that suggests existing route-days for a visit. Observed 557-recommended-routes-clear
Spot: A time slot on a route, defined by a Route Template. Spots can be blocked with a description. Observed 368-route-templates-clear
Fixed To: Spot / Route / Group: Office policy for how firmly an appointment is anchored. Exact movement rules untested. Observed 219-office-routing-options-editor
Appointment Flexibility: Flexible on Route / fixed: Mobile Sales choice between flexible-on-route and fixed scheduling (initial-only or all). Observed 182-mobile-sales-default-editor
Flexible Scheduling / Early Completion Window: Job Pool option "Show services eligible for early completion". The Service Type window lets a service appear before its due date by the chosen advance period. Observed 032-job-pool-advanced, 540-service-type-editor-clear
Call Ahead: Per-subscription option: No Call Ahead, 30 Minute, 1 Hour. Observed 437-existing-subscription-detail
Preferred Tech / Day / Time: Subscription preferences used as scheduling and optimization constraints. A preference is not a route assignment. Observed 437-existing-subscription-detail; vendor 2025 routing article
Initial Followup: Follow-up visit delay after the initial (3-360 days or No Followup). Fill Routes has a separate Followup Buffer. Observed 437-existing-subscription-detail, 540-service-type-editor-clear
Special Requests / Special Scheduling: Customers flagged for manual scheduling. The Job Pool can include, exclude or show only them. Observed 031-scheduling-job-pool; Documented, Job Pool and Intelligent Routing manuals
Pre-planned: Jobs already on a route plan. A plan is not a scheduled appointment. Observed 031-scheduling-job-pool
Potential Customers: Active with no completed service or initial yet. This is not lead status. Observed 032-job-pool-advanced
Wait After: Service Plan rule: the next round cannot be scheduled until a period after the current round, unless overridden manually. Observed 138-settings-service-plan-round; Documented, Service Plan manual
Round / Cycle: Ordered step of a Service Plan and the plan's yearly cycle, tracked in Service Plan Management. Observed 033-service-plan-management
Skipped vs Opted-Out: Separate statuses and filters. A manual opt-out persists across renewals; a seasonal skip does not. Observed 417-service-appointment-filters; Documented, Service Plan manual
Auto-Skip / Auto-Skipped: System status and system skip reason. Documented: late plan enrollment auto-skips past rounds. Observed 346-skip-reasons; Documented, Service Plan manual
Not Serviced: Dashboard and filters equate it with No Show. Observed 393-dashboard-metric-help-5
Frequency (false friend): "Frequency Options" covers seven different timing policies (Auto-Schedule, Fill Routes Buffer, Initial Followup, Recurring Billing, Subscription, Renewal, Convenience Payments), counted in days or appointments. It is not one recurrence unit. Observed 169-settings-frequency-options
Custom Schedule: Month-by-month calendar rule (specific date or ordinal weekday) used for subscriptions or billing. Observed 158-settings-custom-schedule-form
Region (false friend): Route Region is a name-only label used as a preference and filter. It is not a territory, ZIP list or address field. Observed (admin controls), 437-existing-subscription-detail
Hold (false friend): Subscription hold (trigger action; it can cancel pending appointments), account freeze and A/R statement hold are different. A/R hold only delays repeat statements and is not a service freeze. Observed 250-trigger-action-hold; assessment
Next Service (false friend): The Overview's "Next Service" shows Due Date wording, not necessarily a booked appointment. Observed 435-populated-customer-overview
Serv / Sold (calendar): Serv = services completed of scheduled for the day (1/2 matched the day view). Sold has no captured definition. Observed 514-routing-october-calendar
Auto Scheduled: Filter on appointments created by automatic scheduling, separate from staff-scheduled ones. Observed 417-service-appointment-filters

How FieldRoutes does it

1. A subscription produces due work (observed settings, documented lifecycle). The Service Type sets the default Appointment Frequency (as needed, one time, day-based intervals, annual or custom schedule), Default Appointment Length, Default Followup Delay, Season Start / End and Alternate Service Days (540-service-type-editor-clear). Each subscription inherits editable defaults (Documented, Service Type manual). It holds its own Service Frequency, Duration, Call Ahead, Seasonal, Initial Followup, Custom Date, Routing Region and Preferred Tech / Day / Time (437-existing-subscription-detail). The subscription timeline shows a Scheduled marker and Upcoming dates (439-existing-subscription-lower). Search-visible API descriptions say a subscription-linked appointment can inherit defaults and affect the next due date on completion. This is partial schema evidence only (source checks).

2. Due work enters the Job Pool (documented). The manual says due work without a future appointment enters the pool, scheduling removes it until completion, and a missed appointment returns the next day. Special Scheduling customers need manual scheduling. Filters control pre-planned jobs, follow-ups, account balance and age, and wait-after handling. Skill mismatches raise warnings. None of this lifecycle was tested (manual findings). In the account the pool showed 29 rows in 032-job-pool-advanced and 34 rows in 556-job-pool-columns-clear, both with Due Between 05/02/2026 to 11/12/2026. The extra five rows in the later capture are all due 2025-01-01, before that window; the other 29 due dates match. Why those five appear only in the later capture is unexplained.

3. An office user books a visit (observed up to the dialog). The Customer Card Schedule button, or the play button on a Job Pool row, opens the Currently Scheduling context and Recommended Routes. The user sorts by Closest or Soonest, includes full routes or only non-filled ones, filters technicians and groups, sets Max Miles (30 shown) and a date range (Nov 2-12 shown), keeps Match by Tech Skills checked and clicks Refresh. The results would list Date, Tech, Avg. Distance, Closest To, Capacity, Sub SF, Total SF, Sub LF, Total LF. The results were empty, and the dialog and context were closed without booking (029-customer-schedule, 557-recommended-routes-clear). The Day view also offers Schedule Fixed Appointment on half-hour time slots (515-routing-populated-day). The manual documents placing the visit from recommendations or by drag/drop. The 2021 vendor guide describes Map View Schedule, which combines the job pool with a map for selection, drawing and drag/drop (Documented, not tested).

4. Bulk placement (documented, routing block). Fill Routes schedules due work around existing appointments. Visual Grouping, Intelligent Routing and Assign Planned Routes group, plan and then assign. Per manual, the Fill Routes button is charged when selected, even if canceled. Runs are capped at 2,000 appointments, routes cannot cross time zones, and missing geocodes, skills or restrictive windows can exclude work. Re-optimizing unassigned work in Intelligent Routing can delay due dates. The Service Type manual cautions that scheduling many future appointments restricts routing flexibility. Details are on Routing.

5. Service Plan rounds (configured, documented). A plan has ordered rounds with a Service Abbreviation (the Name field, required), service type, start/end month-day, Wait After, dependency on another round, Max delay for late joiners, charge, discount and subtotal. Tooltips: a round's start date cannot change after customers subscribe; wait and dependency can be overridden manually; Max delay lets late joiners get a round for a bounded time after its end (138-settings-service-plan-round). The manual says late enrollment auto-skips past rounds for that year and a missed round can still be scheduled manually. The Job Pool shows the round start as the due date, and wait-after warnings appear when scheduling, not in the listing. Service and billing schedules are separate. Service Plan Management lists rounds and cycles and offers Close Service Plan Cycles and Skip Rounds; neither was opened (033-service-plan-management).

6. Changes to a visit (configured, untested). Edit and Cancel sit on the appointment (448-customer-appointment-detail). Cancel/No Show, Reschedule, Reservice and Skip reasons are separate dictionaries. Cancel/No Show also picks the reason type. How a reason is required or reported was not tested (149-settings-appointment-cancel-reason-form, 154-settings-reschedule-reason-form, 156-settings-reservice-reason-form, 347-skip-reason-editor). Rules that cancel or stop future visits:

Lock Confirmed Appointments and route locks restrict edits. Expand Reschedule Events tracks day, technician and time-window changes (219-office-routing-options-editor).

7. Reminders before the visit (configured, nothing sent). The Service Type sets Send Reminders and Custom Reminder Text (max 1200 characters). Custom Reminder Calls wrap generated date, time and address speech between uploaded MP3 intro and outro recordings (540-service-type-editor-clear). Customer Communication has the SMS Appointment Reminder Template (max 1600 characters, 286-communication-section-5-editor), the auto reply to a YES confirmation (blank falls back to a default, 287-communication-section-6-editor) and the Email Appointment Reminder Template (291-communication-section-10-editor). A Reminders trigger fires a number of days before or on check-in (239-trigger-reminders). The Day view Reminders dialog shows per-appointment SMS, Email and Voice status. The one pending visit showed SMS Undeliverable, Email/Voice Off and status Turned Off. Send Reminders was not used, and an SMS registration warning is shown (518-day-reminder-controls). Reminder Responses lists customer replies (090-report-reminder-responses). Message content belongs to Customer messages and marketing.

8. Automation (configured, not run).

9. Monitoring the schedule (observed screens, vendor definitions). The calendar shows per-day Routes, Serv and Sold counts. On October 16 it showed two routes, Serv 1/2 and Sold 0, matching one completed and one pending visit on two No Tech Assigned routes (514-routing-october-calendar, 515-routing-populated-day). Monthly Services, Pushed Services, Forecast, Completion % and the Audit checks report on due and scheduled work (see Settings and controls).

What the research did not prove

  • No appointment was booked, moved, canceled, skipped or completed. Recommended Routes returned no rows twice, so the recommendation logic is untested.
  • The Job Pool lifecycle (removal on scheduling, return after a miss, wait-after warnings, skill warnings) is documented only. Why the five rows due 2025-01-01, outside the Due Between window, appear in one capture (34 rows) and not the other (29 rows) is unexplained.
  • Route Template behavior is untested: how duration, spot length and max capacity interact; blocked-spot effects; Auto Create scope; who receives notifications; how "Who Can Schedule" (incl. API and Website Deals) is enforced.
  • Fixed To, Minimum Spot Window, Limit AM/PM / Call Ahead, Lock Confirmed Appointments and Auto Scheduling have no tested outcome.
  • Service Plan rounds, late enrollment, skip vs opt-out, Close Service Plan Cycles and Skip Rounds are untested; Service Plan Management was empty.
  • Custom Schedules: edge cases (short months, fifth weekday, holidays, time zones) and actual date generation are unknown.
  • The meaning of reasons in practice (whether they are required, how they are reported) is untested.
  • Calendar "Sold" has no definition. Distance Score has no unit. Some day-view icons and appointment-row asterisks have no captured meaning.
  • Reminder delivery: SMS shows Undeliverable plus a registration warning; no reminder was sent.
  • Completed By vs Serviced By and Subscription Appt # semantics are unknown.
  • Forecast summary tables showed headings only. Several reports were zero or blank for the captured day.
  • Audit "Active Subscriptions without an Initial" lists rows that show an initial service date, so the label and data seem to disagree.
  • Multi-Day Planner main workspace was blank in the captured state.
  • The Flexible on Route versus Fixed to Spot, Route Templates, Appointment Card and Schedule Multiple Rounds manuals are indexed but were not read.

Ideas for Our CRM

Agent proposals, not decisions
  • Proposal: keep "due service", "planned stop" and "booked appointment" as three separate records, as FieldRoutes does, and never show a due date as a booking.
  • Proposal: keep service cadence and billing cadence as independent settings on the agreement.
  • Proposal: model capacity as reusable day templates of time spots with duration, buffer and a list of who may book (staff roles and channels such as API or website).
  • Proposal: keep separate reason lists for cancel, no-show, reschedule, reservice and skip, and treat opt-out apart from skip.
  • Proposal: give the due-work queue saved filters and a clear, documented rule for when work enters and leaves it.
  • Proposal: acceptance test before choosing: urgent insertion, technician absence, customer reschedule and a missed visit with promised windows, skills, capacity and plan dependencies enforced (from the assessment's acceptance questions).
