FieldRoutes in Technicians and licenses

FieldRoutes calls it: User, User Type, Access Control Profile

From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks

In FieldRoutes, this block covers the people who work for the company and the rules around them. That means staff user accounts (Office Staff, Technicians, Sales Reps), skills and licenses, sales teams and office departments, roles and permissions (Access Control Profiles and two-factor login), the time clock, commissions and deductions, staff location reports and technician performance reports. Project-x has no separate users/permissions, time-tracking or payroll block yet. So this page also holds staff users, roles and permissions, time clock and compensation. The research looked at the account as an admin, read only. It covers the Users directory and Add New User dialog, all eight tabs of one existing User Card, the full permission matrix (200 labeled checkboxes), Skills, Teams/Departments, all three commission setups, time clock categories and weekly rules, the Time Clock and its report, location reports, and Technician Stats. This page has 89 screenshots: 52 placed here and 37 from other blocks that also matter here. Nothing was saved, reset, clocked, uploaded or paid out. The text on this page leaves out staff names, contacts and addresses; the screenshots are raw internal captures and do show staff directory data, so keep them internal.

In short

  • A user's type and a user's role are separate. User Type (Office Staff / Technician / Sales Rep) sorts staff. The Access Control Profile decides what they can do. The User Card and the Users directory show both. Observed: 548-owned-user-card, 122-admin-users.
  • Roles are shared. Editing one person can change everyone. An Access Control Profile is a shared role. The UI says profile changes affect all attached users. The official manual adds that if you edit a single user's permissions while a shared profile is still assigned, you change that shared profile for every user on it. To give one person an exception, you switch them to "Custom Profile". The UI is Observed; the propagation rule is Documented and was not tested: 202-access-control-profiles, 551-owned-user-access-control.
  • Permissions are fine-grained. There are about 200 checkboxes in groups. They split own vs. other records and view vs. edit. Financial reports split View from Edit/Actions. Some permissions bypass business rules (payment/agreement prerequisites, availability windows, minimum contract length, equipment scanning, locked periods). Observed as controls; enforcement was not tested: 203-access-control-profile-editor.
  • Commission rules and commission rates are separate objects. Commission Profiles hold the calculation rules (Subscription, Subscription Charge Back, Invoice). Commission Rate Profiles hold rate rows with dates and tiers, assigned to employees. The User Card adds three plain rate fields, a Commission Rates tab and a Deductions tab. No payout was calculated. Observed: 209-commission-profile-editor, 214-commission-rate-editor, 554-owned-user-commission-rates.
  • The time clock enforces policy, not just timestamps. Categories are paid or unpaid, can allow direct clock-in, and can block customer/appointment access. Transition rules can require a switch after N minutes. Weekly settings set clock-in windows, maximum hours and blocked days. The Time Clock Report has overtime thresholds and an ADP export. Observed as setup only; no one clocked in and nothing was exported: 226-time-clock-category-editor, 228-time-clock-settings, 383-time-clock-report-advanced.
  • Skills connect people to work. Skills link to Service Types and Add-ons and have a "Utilize in Scheduling" switch. A user's Information and Licenses tabs also carry skills. Observed: 176-settings-skill-form. The manuals say matching skills affect routing eligibility, Recommended Routes and drag/drop show skill-mismatch warnings, and missing skills can exclude work from Fill Routes (Documented, manual findings). Enforcement was not tested.
  • Technician measures are many and are defined differently. Technician Stats has 27 Key Indicators and 39 "Stats to Include". Average Time On Site separates "reported" from "actual" time. Tech Cancels and Tech Re-services tie outcomes back to the technician. Formulas and attribution were not checked. Observed: 495-technician-stats-loaded-table, 067-report-average-time-on-site.

Their words for this block 29

User / User Card / Edit User: A staff account and its eight-tab editor. Staff users are separate from customers. Observed 548-owned-user-card
User Type / Account Type: Office Staff, Technician or Sales Rep. A staff category, not a permission set. Observed 548-owned-user-card, 123-admin-new-user
Access Control Profile: A shared role: a named set of permissions and defaults. Changes affect every user attached to it. Reserved defaults exist for Office Staff, Technician and Sales Rep. Observed 202-access-control-profiles; Documented manual
Custom Profile (Access Control): Per-user permissions that are not tied to a shared role. The manual says to use it for individual exceptions. It is also the fallback when no specific profile is assigned. Observed 551-owned-user-access-control; Documented
Custom Profile (Commission Rates tab): A compensation-profile selector. False friend: same label as the Access Control one, but a separate context. The research found no link between them. Observed 554-owned-user-commission-rates
Commission Profile: A calculation rule set of type Subscription, Subscription Charge Back or Invoice. False friend: not an Access Control Profile. Observed 208-commission-profiles
Commission Rate Profile: A reusable set of rate rows (type, % or flat, dates, tiers, service filters) assigned to employees. Observed 213-commission-rate-profile-editor, 214-commission-rate-editor
Commission Deduction Types / "+ PaymentType": A dictionary of deduction categories. The add button is literally labeled "+ PaymentType". Observed 206-commission-deduction-types
Deductions (User Card): Dated deduction entries for one employee: description, date, type, amount, notes. Observed 555-owned-user-deductions
Rate Type: Sales Rate, Service Rate, Schedule Rate, Secondary Sales Rate, Tertiary Sales Rate, Team Lead Rate. It names the activity or payee role, not the User Type. Observed 214-commission-rate-editor
Pay Commission To: The roles that earn commission. On Invoice profiles: Sales Rep, Secondary Sales Rep, Tertiary Sales Rep, Sales Team Leader, Technician, Scheduled By. False friend: "Technician" here is a payee role on the work, not a User Type filter. Observed 211-commission-profile-invoice
Skills: Capability labels. They link to Service Types and Add-ons and can be used in scheduling. Observed 176-settings-skill-form
Licenses (User Card): License number rows with linked skills and US states. No expiry or regulator check is shown. Observed 549-owned-user-licenses
Sales Teams / Office Departments: Two separate staff groupings. Both are created by name only. Observed 365-teams-departments-clear
Employee Team (filter): The team filter on the Time Clock and its report. No populated team choice was shown. Observed 381-clock-dock
Roaming Rep: "Not a Roaming Rep" / "Roaming Master Account". The cross-office meaning is inferred from the label only. Observed 548-owned-user-card
Regional Manager: "Not a Regional Rep", "Any Office" or a named office scope. False friend: not the same as Area Management "regions" or Visual Grouping regions. Observed 548-owned-user-card
Supervisor: A stored link to another staff member. The choices show license counts. Observed 548-owned-user-card
Location (User Card tab): The employee's own route Start Location and End Location. False friend: not the GPS "Location Reports", not the office Physical Location and not a customer service location. Observed 553-owned-user-location
Location Reports / Last Known Location / Location History: Maps of where staff were, based on location data reported from the field. Observed 113-reporting-locations (no markers)
Employee Signature: A signature area on the User Card Picture tab, separate from customer agreement signatures. Service Types, Service Plans and Bundles also have an "Employee Signature: No/Yes" setting (No on the blank Bundle form), whose workflow is unknown. Observed 552-owned-user-picture, 141-settings-bundle-form
Time Clock Category: A paid or unpaid kind of time. This account has Working (Paid), Paid Break (Paid) and Lunch (Unpaid). It can allow direct clock-in and can block access to customers and appointments. Observed 226-time-clock-category-editor
Next Category Rule: Allow or require a move to another category after N minutes, optionally with "Enforce full duration". Observed 227-time-clock-next-category-rule
Reset Time: The daily boundary of the time clock. Observed 228-time-clock-settings
Rep Spy (Mobile): A Users permission. Its behavior is not defined anywhere in the evidence. Observed 551-owned-user-access-control
Technician Stats / "Baseball Cards": The technician scorecard report. Its card view is called "Baseball Cards". Observed 495-technician-stats-loaded-table
Reported Time vs Actual Time: Reported = entered by the tech, can be adjusted in the app. Actual = from check-in/check-out. Observed 067-report-average-time-on-site
"Caused By Tech": Re-services, subscription cancels and customer cancels attributed to a technician. The formula is not shown. Observed 495-technician-stats-loaded-table
Authorized Contacts (Office Info): People allowed to make contract and financial decisions about the company's own FieldRoutes account. False friend: not a staff role and not a customer contact. Belongs to FieldRoutes hub. Observed (admin findings)

How FieldRoutes does it

Create a staff user (Observed form, not submitted). Admin > Users > + User opens Add New User: First Name, Last Name, Phone, Email, Username and Account Type (Office Staff selected by default). The dialog has Cancel, Save and close. It shows no password, no access-profile selector and no invitation option. Requiredness, uniqueness and invitation behavior are unverified. The deeper fields appear only on an existing user's User Card. 123-admin-new-user

Maintain a user (Observed, nothing saved). The User Card holds eight tabs. Each tab covers a different concern, and Cancel / Save / close act on the whole card.

  • Information has identity, login and reset, commission rates, type, experience, skills, supervisor, regional scope and login location.
  • Licenses has license rows.
  • Notifications has mobile notification choices.
  • Access Control has the profile and the permissions.
  • Picture has the photo and the employee signature.
  • Location has the route start and end.
  • Commission Rates and Deductions hold pay data.

The tester canceled Edit User after the last tab. The final metadata shows no open dialog and no Customer Card checkout. 548-owned-user-card, 555-owned-user-deductions

Assign permissions (Observed UI, Documented rule, untested).

  1. You build a shared role in Access Control Profiles. It has Description (Required), office scope, Notes and Default for. Group Toggle On/Off and individual checkboxes set the permissions.
  2. You attach the role to users. On the User Card, the Access Control tab shows the selected profile and its checkboxes.
  3. If you change a checkbox while a shared profile is assigned, the manual says that change goes into the shared profile for all its users (Documented). For a one-person exception, switch that user to Custom Profile first.
  4. Reserved default profiles let you edit permissions, but you cannot rename them, change their notes or remove them (Observed UI text). The list has three of them: Default Office Staff, Default Sales Rep and Default Technician, one per Account Type 202-access-control-profiles. The editor has a "Default for" selector whose options were not shown. The help says you "apply these to new employees with similar job functions", and the manual says an unassigned user or account type falls back to Custom Profile (Documented). That a new user automatically gets the default profile of their Account Type is an inference: the Add New User dialog has no profile selector and no user was created.
  5. On your own card, the Administrator right and several of your own user-management rights are disabled, with the warning "Revoking this permission from yourself is not permitted." This is a form restriction, not proof that admin rights are immutable.

No permission was toggled and no second role was tested. 203-access-control-profile-editor, 551-owned-user-access-control

Two-factor login (Observed settings, Documented manual, untested). The steps are layered:

  1. An office first turns 2FA on ("Enable for this Office"; currently No).
  2. Then it can require 2FA for all Office Staff, Technicians and/or Sales Reps.
  3. It can also set a re-verification snooze.

The group controls are disabled while the office setting is off. The tooltips say:

  • Group policy overrides individual preferences.
  • Users get a 7-day setup period from their first login after the requirement is enabled.
  • The newer FieldRoutes mobile app supports 2FA; the older PestRoutes Sales/Tech apps do not.

The manual says enrollment uses a smartphone authenticator, administering 2FA needs a dedicated permission ("Edit Two-Factor Settings"), and a configurable snooze reduces repeat prompts. One manual passage about disabling 2FA for an individual wrongly describes an all-user scope. So disable precedence and recovery need clarification. Enrollment, enforcement, reset and recovery were not tested. 222-office-two-factor-settings-editor

Login restrictions (Observed setting, untested). The User Card offers three Login location options: "Allow login from anywhere" (selected), an office-IP requirement for office-only login, and a custom location. Office Info's contact editor separately stores an office IP. Whether the restriction actually applies was not tested. Separately, a "Session has Expired" dialog appeared after 60 minutes without activity. That is a global behavior; see FieldRoutes hub.

Compensation setup (Observed setup, no calculation).

  1. Define deduction categories in Commission Deduction Types.
  2. Define calculation rule sets in Commission Profiles (Subscription, Subscription Charge Back or Invoice).
  3. Define rate sets in Commission Rate Profiles and pick Assigned Employees.
  4. A rate row needs a type, % or flat amount, value, dates, a calculation profile (Sales, Service or Schedule Commission), a tier and optional service type/plan limits.

The User Card also carries Sales / Service / Schedule Commission Rate inputs on the Information tab, a Commission Rates tab and a Deductions tab. Service Types and Service Plans carry their own Service / Sales / Schedule Commission %. Office Preferences has "Base Commission On Serv. Type" and "Deductions On Employee Card". The precedence between these sources is not shown anywhere. The Commission report has three dates:

  • Date
  • "As of Date": counts qualification or payment status and deductions recorded by that date
  • a tier start date: how far back revenue is summed to pick the tier "defined in Employee Card -> Commission Rates"; if empty, only revenue in the range counts

It also has a "Record Payments" button, which records payouts and was not pressed. Custom schedules always use one year for contract-value calculation (Observed tooltip). 209-commission-profile-editor, 073-report-commission

Time clock (Observed setup and screens, no clock action).

  • Categories define paid or unpaid time. The account has three: Working (Paid), Paid Break (Paid) and Lunch (Unpaid), all available to all offices 225-time-clock-categories. "Allow clock in" lets a worker enter the category directly from the clocked-out state. "Block access" stops access to customers and appointments while the worker is in that category.
  • Next Category Rules allow or require a move to a chosen category after a number of minutes. "Enforce full duration" makes the worker stay in the category for its full length (wording of the control; not tested).
  • Weekly Time Clock Settings set, for each weekday: clock-in start and end, maximum paid hours, maximum unpaid hours and "Block day". A single Reset Time applies to all days. The current values are full-day windows and 24 hours.
  • Staff clock in from the Clock dock. Each employee row shows elapsed time, Clock In and a category ("Working" selected). The mobile permission "View Timer Menu Item" shows the mobile Timer menu with Clock In / Clock Out.
  • Hours come out through the Time Clock Report. It has Export to Excel and Export to ADP, with overtime and ADP code fields.

No clock-in, transition, block, export or payroll run happened. Time zones and reset boundaries, exception approval, edit history and urgent customer access during a block are unverified. 381-clock-dock, 382-time-clock-report

Skills and scheduling (Observed setup, Documented rule, untested).

  • A Skill links to Service Types and Add-ons and has "Utilize in Scheduling" (checked in the blank form).
  • Service Types and Add-ons each carry a Skills selector.
  • Users carry Skills on Information and per license row on Licenses.
  • Recommended Routes in the Job Pool has a "match by tech skills" option.
  • The Intelligent Routing manual says valid geocodes and matching skills affect eligibility (Documented).
  • The Job Pool manual says Recommended Routes and drag/drop scheduling show skill-mismatch warnings (Documented, manual findings).
  • The Fill Routes manual says missing skills (like missing geocodes or tight windows) can exclude work or make a route infeasible, and Fill Routes rejects routes whose technician endpoints or customers cross time zones (Documented, manual findings).

No assignment was made. So the documented warnings and Fill Routes exclusions were not seen in the account, and it is still unknown whether a manual booking with a skill mismatch is blocked or only warned. 176-settings-skill-form, 557-recommended-routes-clear

Technicians on routes (Observed screens, no assignment).

  • Technician route start and end come from the User Card Location tab. Office Info says these override the office's Physical Location, which is otherwise the start and end for optimization and Intelligent Routing.
  • Visual Grouping can group subscriptions by "Assign Preferred Technicians". The loaded view showed 33 unassigned subscriptions and one under a technician. In region mode the prompt still says "Select tech to begin drawing their area"; this wording mismatch is kept as observed.
  • Intelligent Routing can "Route By Preferred Tech", with per-technician tabs.
  • Assign Planned Routes puts route plans onto technician days (All Technicians / No Tech Assigned / each tech); both panels were empty.
  • The Dispatch Map has a Technicians layer. That does not prove live GPS.
  • The populated day showed two routes with no technician assigned.

522-visual-grouping-loaded, 038-assign-planned-routes, 515-routing-populated-day

Measuring technicians (Observed screens, formulas not verified).

  • Technician Stats loaded three technician rows in table view and a roster of cards with a chart (by Date/Week/Month). Its "months of historic data" setting (default 3) drives the re-service, customer-cancellation and subscription-cancellation percentages. Its Key Indicator (Star Reviews in the capture) is not the same as service productivity. A zero is not proof that no work happened outside that measure or window.
  • Average Time On Site By Tech counts only appointments completed in the range. It groups them by technician and by planned duration, so long and short visits are compared fairly. A gap between reported and actual time is not proof of misconduct.
  • Technician Ratings on the dashboard come from customer-portal ratings and link to Customer Feedback. They are not a verified NPS score.
  • Composite Stat (weighted combination of stats) feeds the Sales Leaderboard. Its metric editor never opened, so it is not evidence of a working technician composite score.

494-technician-stats-refreshed, 067-report-average-time-on-site, 392-dashboard-metric-help-4

Auditing what staff did (Observed, empty or no rows inspected).

  • Customer Access logs employee activity on customer records. It has date and employee filters and a 20,000-log limit per run.
  • AR Oversight logs billing and AR actions by user type, employee, location, object and action. It can include IP address (default No) and has a 25,000-log limit.
  • Change Log lists changes by employee, "Trigger Rule" or "System Change". Its entity types include employees, access control profiles, licenses and time clock entries.

These limits are retrieval limits, not proof of how long logs are kept. 074-report-customer-access, 064-report-ar-oversight, 072-report-change-log

What the research did not prove

  • Enforcement. No second, non-admin role was used. Nobody tested least privilege, inherited or implied permissions, cross-office isolation, or whether a bypass permission works. The admin's own card is not a representative role.
  • Shared-profile propagation and Custom Profile fallback. These come only from the manual. Why "Save Reports Globally" is disabled in the new-profile editor but checked on the own user is unknown.
  • Security beyond the setting screens. 2FA enrollment, enforcement, reset, lost-phone recovery and disable precedence were not tested; the manual passage on disabling is inconsistent. Also unverified: SSO, effective login-location or IP restrictions, password-reset delivery, offboarding, audit completeness and retention, backups, certifications and contractual security commitments. Session expiry after 60 minutes was observed once and is not a proven configurable policy.
  • User lifecycle. No user was created, merged, deactivated or invited. Merge Users rules and surviving history are unknown. Add New User shows no password or access-profile field.
  • Teams and departments. Membership, managers, permissions and commission links after saving are not shown. Both lists are empty.
  • Licenses. No license was saved. No expiry, regulator check or qualification enforcement is shown. The skills option lists are empty in this tenant.
  • Notifications. No delivery or device registration was tested.
  • Signature and photo. No upload or signature was saved. Reuse in documents is untested. Employee photos render as broken images on the Time Clock and Technician Stats (381-clock-dock, 494-technician-stats-refreshed).
  • Route endpoints. Precedence, geocoding and optimization use were not tested.
  • Compensation. No commission, charge-back, tier, split or deduction was calculated or paid. "Qualified" revenue is undefined. The precedence between Information-tab rates, Commission Rates, Rate Profiles, Service Type % and "Base Commission On Serv. Type" is unknown. Recruiter effects and the + Rate child form were not opened. Commission report Advanced Filters were not opened. The Commission Rates and Deductions lists are empty. Payroll effects are unknown.
  • Time clock. Nobody clocked in. Transitions, blocks, limits, time-zone and reset behavior, corrections, approvals, edit history and emergency access are untested. The Time Clock Report rendered no rows. No Excel or ADP file was produced, so ADP file acceptance is unknown. "Export to ADP" is not a live payroll integration.
  • Location tracking. Every location map was empty for the captured day. The data source, freshness, accuracy and timestamps are unknown. Nothing shows vehicle telematics. The Dispatch Map Technicians layer does not prove live GPS.
  • Technician metrics. Formulas, attribution (assigned vs. performing technician), denominators and zero-data handling are not visible. The Technician Stats manuals were indexed but not read. Composite Stat's metric editor did not open. The Audit "Employees with Images Saved" panel counts in "Appointments", so its meaning is unclear. Average Time On Site Advanced Filters were not opened. Tech Collections and Tech Completion Notes showed no figures.
  • Tasks. "Create New" in the Tasks dock opened no editor (376-tasks-dock). Task assignment notifications and completion were not shown.
  • Unclear labels: Rep Spy (Mobile) and DB Link are undefined. The meaning of Roaming Rep is inferred from its label.
  • Overall fit. The research rates "permissions/audit/security" high for visible controls but low for enforcement and recovery. It rates "workforce/multi-office" medium for setup and low for enforcement, payroll output and cross-office isolation. "Sales/commissions" is medium for configuration and low for attribution and payout accuracy. "Field execution" is low for technician runtime (assessment). The research names shared-profile propagation as an explicit acceptance condition (final evidence review).
  • Open acceptance questions from the research:
    • Test representative roles end to end: view vs. export vs. change.
    • Find out who can change 2FA, override scheduling/payment/scan rules, change tax or prices, access other offices, or impersonate a portal user.
    • Prove 2FA group precedence, app compatibility, recovery and offboarding.
    • Check whether independent reviewers can detect sensitive actions without performing them.
    • Test clock and break policies across midnight, reset time, roles and offices, including emergency access and corrections.
    • Reconcile approved time to payroll: overtime, double time, employee mapping, ADP file acceptance.
    • Reconcile commissions across date bases, custom schedules, tiers, splits, deductions, cancellations and charge-backs, including effective-date changes. Decide who approves adjustments and how to avoid duplicate or missing payouts.
    • Validate technician-score fairness before using it for pay or performance.

Ideas for Our CRM

Agent proposals, not decisions
  • Proposal: keep staff type (office, technician, sales) separate from role/permissions, as FieldRoutes does.
  • Proposal: make shared roles explicit. When an admin edits one user's permissions, warn that the shared role changes, and offer a per-user exception instead of silently changing the role (the research's acceptance focus).
  • Proposal: split "view a report" from "act on a report" (export, select, statements, bulk actions) in permissions.
  • Proposal: keep commission calculation rules separate from employee rate assignments, with effective dates and tiers, and state one clear precedence order.
  • Proposal: model time-clock categories as paid/unpaid with optional "block customer access" and timed transition rules; treat payroll export as a separate, testable integration.
  • Proposal: keep each technician's route start/end separate from the office origin and from live location tracking.
  • Proposal: for the planned technician dashboard, label every measure as scheduled, reported, actual or inferred, and show its formula, date basis and history window. Attribute "caused by tech" outcomes visibly (reporting findings).
  • Proposal: keep data-quality audits and action tracing (who did what) as two different tools.
