1From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks
In FieldRoutes, invoicing covers the charge documents a customer receives (FieldRoutes often calls an invoice a "ticket"), the rules that decide when and how often a subscription is billed, who pays (the "Bill To" or billing account), tax, payment terms (net days), statements and their inserted letters, invoice and statement footers, GL accounts and the reports that sum up what was invoiced. The research looked at 34 screenshots placed here and 72 more from other blocks. It covered the Customer Card Billing and Invoices tabs of a sparse customer and of a populated one (one real unpaid recurring invoice, its detail, its Actions menu and a rendered print preview), the invoice-related admin settings (Service Types, Service Plans, Bundles, Add-ons, Discounts, Custom Schedules, Frequency Options, Billing Letter Templates, GL Accounts, Office Billing Preferences, Office Info, Customer Communication groups, Prepayment Discounts and Letters), the billing reports (Billing by Service Type, Line Items, Sales Tax old and new, Prepayments, Audit checks) and global search by invoice number. Everything was read-only: no invoice was created, edited, sent, printed, consolidated, credited or deleted.
Each capture is a saved screen state from the FieldRoutes account on 2026-11-02. A screen shows what controls exist; it does not prove what happens when they are used.

The Billing tab holds the billing contact and address (separate from the service address), billing phone/email and company, an AutoPay setting (No Auto Pay; tooltip: charges the full balance automatically), Collections Stage (Not Sent/Pending/Sent) and two invoice-consolidation checkboxes. It offers Copy Billing Info, Assign New Billing Account, Save Billing Info, a Default Bill To block (default payer for new invoices and subscriptions, here the customer itself) and Additional Contacts. Side links lead to + Add Payment Method and + Convenience Payments. Nothing was saved; the populated version is capture 452.

The Invoices tab shows the customer's Account Summary (balance and age, Last Letter and Last Email both None Sent), Email / Snail Mail / Print statement controls, a Payments area with + Add Payment, and side links to Account Balance Summary and + New Invoice. This test customer has a $0.00 balance and no invoices; the populated version is capture 440.

The Create New Invoice dialog asks for an invoice date, an amount, a service type (Misc Service or one of the company's service types) and the bill-to account (defaulting to the customer itself), with Cancel and Create. No invoice was created.

Summarises what was invoiced (and how much of it has been collected) for a date, grouped by service type by default with up to two sub-groups; grouping choices include billing frequency, city, county and tax codes, customer source, division, GL account, invoice date/month/type, line item, office, PO number, region, sales rep, service bundle or category, technician and zip. Options: payment as-of date, revenue value versus production value, write-offs, include/exclude/only service plans and bundles, and Advanced Filters (not opened). Summary blocks show billings generated, invoice and line-item counts, billed amount, taxes, total invoiced, payments and tax collected. It has saved-report presets, Export to Excel, a chart toggle and a searchable table; all values are zero in this capture.

Itemises every charge on invoices (tickets) for a date range, with an option to show add-on codes. Totals show count and quantity of line items and revenue; columns are description, category, item count, quantity, total and add-on code. A note says it is accrual based, uses the date the ticket was created, and itemises charges that Billing by Service Type groups under the main service. Values are zero and the table is empty.

Tracks prepayment offers sent to customers. Filters: date created, expiration date, service plans and office, with Hide Filters, Refresh and Export to CSV. Columns: prepay offer, service plans, office, communication method, total value, discount, tax collected, payments collected, total offers, and accepted base and upsell offers. The table shows zero entries.

The older sales tax report, still in the menu next to the newer one. It groups by state, county, county tax code or city tax code and shows one section per tax jurisdiction. Each section gives an accrual figure (tax collected out of tax invoiced for services in the period) and a 'tax applied' figure (a cash/accrual hybrid), with explanations. All amounts are zero; there is no export button.

The current sales tax report. Filters: date, group by state, county or city, office and property type (all, commercial, residential), with saved-report presets, Clear Filters and Export to CSV. Tables show total collected, revenue, non-taxable and taxable revenue, and tax by city, county, five districts, state and other. The page explains FieldRoutes' 'Cash Hybrid' method: revenue and tax count when cash is applied to an invoice, prepayments count only once invoiced, late payments count when received, and coupon payments are excluded. It points to Billing by Service Type or Payments by Service Type for accrual or cash accounting.

Edit form for the return address printed on invoices, statements, service notices and emails (P.O. box allowed), shown with the separate physical-location address used as the route start/end. Not saved.

List of text blocks that are inserted into customer statements by days past due and payment-method status, e.g. friendly reminders for slightly late and firmer wording for long overdue accounts. Filter by invalid payment method, search, 2000-character limit and placeholder notes.

Form with minimum and maximum days past due, invalid payment method (No/Yes/Any, meaning the last card charge failed) and letter text with placeholders for billing name, last service date, balance age and days overdue. Not saved; no statement generated.

Catalog of general ledger accounts used to classify revenue, with scope and visibility filters, search and + GL Account. Not a connected ledger.

Form with account number, required title, description, scope and visibility. Not saved.

Overview of office-wide policies in separate editable sections: contract defaults, routing options, billing preferences, other options, two-factor settings, brand colors and month closing (with a Close Month button, not used). Shows this account's current values.

Billing policy: address position on documents, ZIP-based tax (rates update within 24 hours), default net days, tax-exempt states, manual invoice consolidation, portal payment caps for residential and commercial, portal renewal and plan display, technician tips, automatic reversal of failed ACH, freeze on PO expiry, convenience payment receipts and soft-decline retry, hold and threshold. Not saved.

Communication settings editor for 'Account Statement Tear Sheet', opened unchanged and cancelled. A No/Yes setting that adds an invoice-summary tear sheet to printed or mailed statements; the screen says the mailed version includes a return envelope and costs $0.20 extra per statement. It is No in this tenant. The filename only gives the group number.

Communication settings editor for 'Accounts Receivable Hold Time', opened unchanged and cancelled. Separate residential and commercial day counts (15 each here) for how long to wait before re-sending a statement by the same method. It is a statement-repeat delay, not a service freeze. The filename only gives the group number.

Communication settings editor for 'Invoice Footer Text', opened unchanged and cancelled. Rich-text footer printed on invoices (stated max 1000 characters). The existing tenant text is template content, not checked as legal guidance. The filename only gives the group number.

Communication settings editor for 'Statement and Invoice Footer Text', opened unchanged and cancelled. Rich-text footer applied to both statements and invoices. The existing wording about finance charges is template text, not a verified charge rule. The filename only gives the group number.

Dictionary of discounts offered for paying a service plan in advance. Visibility filter, Search, + Discount Template and Discount Name/Discount/Description/Visibility columns; the list is empty.

Blank form with required Discount Name, Discount and Description and Hidden/Visible, with save/cancel. The Discount field shows no percent or currency unit, so how it is applied is unclear. Nothing was saved.

The Invoices tab for the populated customer lists one unpaid recurring-billing invoice with its initial and remaining balance and date. The Account Summary shows balance, Last Letter / Last Email (None Sent), Email / Snail Mail / Print, and Payments with + Add Payment. Nothing was sent or paid.

Detail of an existing invoice: invoice date, due date, days to pay, appointment date (N/A, so this recurring invoice is not tied to a visit), service address, billing account, created by (System), PO number and notes. Charges show the service line, amount, Taxable checkbox, + Discount, + Add Ticket Item and Production with a formula tooltip ((service frequency / billing frequency) x invoice total) and a custom-production switch, then subtotal, discounts, tax, total and payments/balance. Nothing was changed.

The invoice's Actions menu offers Email Invoice, Print Invoice, Snail Mail Invoice, Delete Invoice and Credit Memo. Only Print was used afterwards (443); nothing else was selected.

A real rendered invoice document: company header, customer and service address, invoice and account numbers, invoice date, terms (NET 0 / Upon Receipt), one service line with quantity, price and subtotal, totals, amount paid and amount due, an additional-notes box and footer wording on finance charges. A 'Mark Letter as Sent' control exists but was not clicked; nothing was printed or mailed.

The Account Balance Summary is a customer ledger view: Actions and refresh, a date range (today only here), a This Account / Responsible For switch, beginning and ending balance ($120.00 each), and columns Item, Account #, Description, Invoice Amount and Payment. The switch is set to Responsible For and the table is headed 'Responsible For', so the empty table lists what this customer pays for on other accounts; no rows there is expected. The This Account view was not captured.

The date-range picker for the ledger offers Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year, Last Year, All History and Custom Range, with Apply and Cancel.

The same ledger after choosing All History shows the range 01/01/1900 to 11/02/2026, still with Responsible For selected. Balances are unchanged ($120.00) and the Responsible For table stays empty, which is expected unless another account names this customer as payer. The This Account view with All History was never captured, so the customer's own ledger was not shown either way.

Billing Information for the populated customer: billing name, company, address, phone and email; AutoPay (No Auto Pay); Collections Stage (Not Sent); checked options to include invoice numbers on consolidated invoices and to auto-consolidate multi-service appointment invoices; Copy Billing Info, Assign New Billing Account, Save Billing Info; Default Bill To (the customer itself) and Additional Contacts. Side links: + Add Payment Method, + Convenience Payments. Nothing was saved.

Select Bill To opens a Select Billing Account dialog with a search box; its tooltip says the chosen account is responsible for paying invoices, and the Default Bill To applies to new invoices and subscriptions. The current payer stays the customer itself; nothing was selected.

One of the 19 data-quality checks in the Audit report, selected on its own: it lists monthly-billed subscriptions whose billing is past due (help text says this can follow an old date or another error). The panel shows 0 potential errors for customers entered on the captured day, so no result table or columns appear. It shares the Audit date range, Refresh and Export to CSV; nothing was corrected or exported.

One of the 19 data-quality checks in the Audit report, selected on its own: it lists re-service visits that carry a charge (re-services are normally free). The panel shows 0 potential errors for customers entered on the captured day, so no result table or columns appear. It shares the Audit date range, Refresh and Export to CSV; nothing was corrected or exported.

One of the 19 data-quality checks in the Audit report, selected on its own: it lists a log of locked accounting periods. The panel shows 0 locked periods for customers entered on the captured day, so no result table or columns appear. It shares the Audit date range, Refresh and Export to CSV; nothing was corrected or exported.

Billing by Service Type with the chart turned on. It shows the 'Billings Generated' chart, quantity, invoice and collections stats (all zero) and the table with description, invoices, line-item quantity, total collected, tax collected, tax invoiced, payments collected and billed. Revenue versus production value, write-off and plan/bundle options are visible. The table states zero entries.
Invoice detail shows invoice date, due date, days to pay, appointment date, service address, billing account (separate fields), created by, PO number, notes and Additional Notes. Charges list the service line (service type combobox), amount, a Taxable checkbox, + Discount, + Add Ticket Item, and Production with the formula tooltip and a "Switch to Custom Production" control (the production input is disabled until switched). Then come Sub Total, Total Discounts, Tax, Total, and a payments block (+ Add Payment, Charges, Payments, Balance). Nothing was edited. 441-existing-invoice-detail
The populated subscription bills Monthly, Next Billing 2026-11-15, net billing days 0, initial invoice timing set, and is serviced Every 90 Days. The recurring invoice summary shows a $120 charge and subtotal against $360 production; the initial invoice summary shows production, initial charge and subtotal. The billing-frequency tooltip says the ticket amount is per billing cycle and production is the normal service price, and that a Next Billing date in the past causes a charge within 24 hours (not tested). 437-existing-subscription-detail, 439-existing-subscription-lower
A Service Plan has its own billing frequency and billing start/end dates; the tooltip says the last recurring bill is generated on the billing end date. The Service Plan manual says service and billing schedules are separate and that incomplete custom billing amounts can leave a balance due at plan end. Each round has its own service charge, discount and subtotal. No plan invoice was generated. 137-settings-service-plan-form, 138-settings-service-plan-round
A Bundle can use Bundled Billing with its own Bundle Billing Frequency (every 4 weeks, monthly, alternate monthly, quarterly, semiannual, annual or upon renewal) and its own recurring-billing start. GL can be reported at bundle level or at service-type level. The Service Type manual's Bundle examples talk about project packaging, while the editor offers recurring billing; this needs clarifying with the vendor. FieldRoutes' 2024 feature review says Service Bundles can be sold, scheduled and serviced as a unit and billed on a consolidated invoice (Documented, public vendor page; no bundle invoice was seen) (official-source checks). 141-settings-bundle-form, 142-settings-bundle-service
The customer Billing tab has two checked options: "Include individual invoice numbers on Consolidated Invoices" and "Auto-consolidate Multiservice Appointment Invoices". The office can "Enable Manual Invoice Consolidation". No consolidated document was produced. The Convenience Payments manual says that plan does not work with consolidated invoices or Renewal Billing. 452-customer-billing-populated, 220-office-billing-preferences-editor
Prepayment Discounts (empty list) and Prepayment Letter Templates (empty list) define offers to pay a plan in advance. Letters have editable Body and Closing; the preview says "Services Section NOT Customizable". Placeholders cover customer and address, office contact, prepay discount name/value/description, portal prepayment and upsell links, letter date, offer expiry and template name. Separate communication groups hold pre-pay email and snail-mail templates for new subscriptions and for renewals. The Prepayments report tracks offers sent. 335-prepayment-discounts, 336-prepayment-discount-editor, 337-prepayment-letter-templates, 338-prepayment-letter-editor, 339-prepayment-letter-preview, 087-report-prepayments
Contract-template placeholders keep service and billing addresses apart and include financial totals and plan rounds; a placeholder preview is not an issued contract (evidence 277). Renewal Notice variables include next billing date, balances and separate bill-to information; no notice was sent (343-renewal-notice-editor).
Account Balance Summary has Actions, refresh, a date range, a This Account / Responsible For switch, beginning and ending balance, and columns Item, Account #, Description, Invoice Amount and Payment. Presets: Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year, Last Year, All History, Custom Range. Beginning and ending balance both read $120.00, matching the one unpaid invoice. With Today and with All History (01/01/1900 to 11/02/2026) the table stayed empty. In all three captures the Transactions switch is set to Responsible For (highlighted with a check mark, and the table is headed "Responsible For"), not This Account. So the empty table is the list of what this customer is responsible for on other accounts; no rows there is expected unless another account names this customer as its payer, and it says nothing about the customer's own ledger. The This Account view, with or without All History, was never captured, so the customer's own transaction history was not shown either way. 444-account-balance-summary, 445-account-summary-date-picker, 446-customer-historical-balance
Global search switches to "By Invoice" (label "Search invoice number") and returns an autocomplete card with customer, invoice number, amount due, address/contact and office, with keyboard navigation. No invoice was opened from it. Older notes that said "no result" are historical; current 528/529 files hold a result card. 527-global-invoice-search, 528-global-invoice-search-result, 529-global-invoice-search-button, 530-global-invoice-suggestions-typed, 531-global-invoice-autocomplete-result
From the Invoices tab, + Add Payment offers Cash, Check, Card, ACH and Coupon/Credit; each can limit distribution to a customer, a subscription and which invoice to apply to first; Coupon/Credit adds a Write Off flag. Nothing was recorded. 023-customer-add-payment, 024-payment-cash, 028-payment-credit. Payment detail and allocation are in Payments and collections.
