FieldRoutes in Invoicing and billing terms

FieldRoutes calls it: Invoice, Ticket Item, Misc Service

From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks

In FieldRoutes, invoicing covers the charge documents a customer receives (FieldRoutes often calls an invoice a "ticket"), the rules that decide when and how often a subscription is billed, who pays (the "Bill To" or billing account), tax, payment terms (net days), statements and their inserted letters, invoice and statement footers, GL accounts and the reports that sum up what was invoiced. The research looked at 34 screenshots placed here and 72 more from other blocks. It covered the Customer Card Billing and Invoices tabs of a sparse customer and of a populated one (one real unpaid recurring invoice, its detail, its Actions menu and a rendered print preview), the invoice-related admin settings (Service Types, Service Plans, Bundles, Add-ons, Discounts, Custom Schedules, Frequency Options, Billing Letter Templates, GL Accounts, Office Billing Preferences, Office Info, Customer Communication groups, Prepayment Discounts and Letters), the billing reports (Billing by Service Type, Line Items, Sales Tax old and new, Prepayments, Audit checks) and global search by invoice number. Everything was read-only: no invoice was created, edited, sent, printed, consolidated, credited or deleted.

In short

  • Service cadence and billing cadence are separate settings. A real subscription is serviced every 90 days but billed monthly; its recurring invoice charges $120 while its "production" value is $360 (Observed, 439-existing-subscription-lower).
  • An invoice is its own record, separate from the appointment. A system-created recurring-billing invoice exists with Appointment Date "N/A" (Observed, 441-existing-invoice-detail).
  • Who pays is explicit. "Default Bill To" sets the paying account for new invoices and subscriptions; the manual says responsibility can be set per customer, per subscription and per invoice. Billing contact details are a separate thing from the payer (Observed 453-customer-bill-to-selector; Documented in the Billing tab manual).
  • Invoice timing is configured per Service Type, Service Plan and Bundle, and can be overridden on the subscription: initial invoice after completion, after signature, on a billing date or on a custom schedule; recurring billing after each service, on a fixed period or on a month-by-month custom schedule (Observed, 540-service-type-editor-clear).
  • Every money figure has its own meaning: invoice amount, production value, contract value, revenue and payments collected are different measures, and reports state different bases (accrual by ticket date, "Cash Hybrid" for sales tax).
  • The Billing-tab manual limits billing addresses to the US. This is the main acceptance condition for a non-US business (Documented).
  • Configuration was seen in depth; outcomes were not. No invoice posting, consolidation, tax calculation, statement run, credit memo or GL export was tested.

Their words for this block 36

Invoice / Ticket: The charge document. The UI and reports use both words: invoice detail has "Ticket Info" and "+ Add Ticket Item"; Line Items itemizes "tickets". Same thing, two names. Observed 441-existing-invoice-detail, 084-report-line-items
Ticket Item / Line item: One charge line on an invoice (service, add-on, fee). Observed 441-existing-invoice-detail
Misc Service: A generic service choice for a manual invoice or line, next to the company's own service types. Observed 022-customer-new-invoice
Billing Account: The customer record that pays. On a subscription or invoice it shows "SELF" when the customer pays its own bills. It is a payer, not a ledger or a bank account (false friend). Observed 437-existing-subscription-detail, 441-existing-invoice-detail
Default Bill To: The default paying account for new invoices and new subscriptions. The tooltip says the chosen account "is responsible for paying invoices". Observed 453-customer-bill-to-selector
Assign New Billing Account / Copy Billing Info: The manual says Assign New Billing Account changes the responsible customer (Default Bill To); Copy Billing Info only copies correspondence details between linked accounts. Documented, Billing tab manual; buttons Observed 452-customer-billing-populated
Billing Information: Billing name, company, address, phone and email: where financial mail goes. Changing it does not change who pays. Observed 452-customer-billing-populated
Responsible Payer / Responsible For / Responsible Balance: Account-level view of who pays and what a payer owes for other accounts. Separate from "Subscription Bill To". Observed 427-billing-account-filters-lower, 444-account-balance-summary
Production / Production Value: The normal service price used for valuation, not the billed amount. On recurring billing the tooltip formula is (service frequency / billing frequency) x invoice total; it can be switched to Custom Production. Observed 441-existing-invoice-detail, 439-existing-subscription-lower
Charge (recurring ticket): The amount billed each billing cycle. The tooltip says the recurring ticket is the per-cycle charge and production is the normal service price. Observed 437-existing-subscription-detail
Contract Value: Its scope depends on the screen: the subscription says "including initial service"; the dashboard average contract value excludes it. Not interchangeable. Observed 437-existing-subscription-detail; domain model
Billing Frequency: How often the subscription is billed. Separate from Appointment Frequency (how often it is serviced). Observed 540-service-type-editor-clear
Frequency (Frequency Options): A typed list covering seven different policies (Auto-Schedule, Fill Routes Buffer, Initial Followup, Recurring Billing, Subscription, Renewal, Convenience Payments), counted in days or appointments. "Frequency" alone is ambiguous (false friend). Observed 169-settings-frequency-options
Initial Invoice: When the first invoice is created: After Initial Completion, After Agreement Signed, On Initial Billing Date or Custom Schedule. Observed 437-existing-subscription-detail
Recurring Billing / Recurring Billing Starts: Billing on a schedule, independent of visits; it starts from the sold date or from initial completion. Observed 540-service-type-editor-clear, 141-settings-bundle-form
Next Billing: The next billing date on the subscription. The tooltip says a past date causes a charge within 24 hours. Observed 437-existing-subscription-detail
Net Billing Days: Payment terms in days, set per office, Service Type, Plan or subscription. The printed invoice showed "NET 0 / Upon Receipt". Observed 220-office-billing-preferences-editor, 443-existing-invoice-print-preview
Days to Pay: Shown on invoice detail (-18 on the inspected invoice). Sign and formula not verified. Observed 441-existing-invoice-detail
Taxable: A per-line or per-definition tax flag. A checked Taxable line coexisted with zero tax on the inspected invoice. Observed 441-existing-invoice-detail
Use Zip Based Tax: Office option to take tax rates by City/County/Zip. Its tooltip says that after it is turned on "it will take up to 24 hours" for customers' tax rates to be updated. Observed 220-office-billing-preferences-editor
Consolidated Invoices: Combining several invoices into one document. Customer-level options and an office "Enable Manual Invoice Consolidation" switch exist. Observed 452-customer-billing-populated, 220-office-billing-preferences-editor
Statement: An account-level summary document sent by Email, Snail Mail or Print. Different from an invoice. Observed 440-populated-customer-invoices, 513-receivables-actions
Billing Letter Template: Text inserted into a statement. The UI help says by "criteria such as days past due and auto pay status"; the editor's criteria are days past due and Invalid Payment Method. Not a standalone letter or email (false friend). Observed 204-billing-letter-templates
Invalid Payment Method: The UI defines it as an account whose last credit-card transaction failed. Observed 205-billing-letter-template-editor
Accounts Receivable Hold Time: Days to wait before re-sending a statement by the same method. Not a service or payment freeze (false friend). Observed 285-communication-section-4-editor
Account Statement Tear Sheet: Optional invoice-summary tear sheet on printed or mailed statements; mailed version adds a return envelope at $0.20 extra per statement. Observed 284-communication-section-3-editor
Credit Memo: An invoice Action and a permission ("Add/Edit Credit Memos"). What it produces was not seen. Observed 442-existing-invoice-actions
Add-on: A supplement on a service or invoice. It covers fees (cancellation, late payment, NSF) and discounts, not only extra treatments (false friend). Observed 144-settings-addons
Discount vs Prepayment Discount vs Prepay Discount: Three separate things: reusable Discounts (percentage or amount), Prepayment Discounts for paying a plan in advance (unit unclear), and a Prepay Discount field on a Service Plan. Observed 166-settings-discount-form, 336-prepayment-discount-editor, 137-settings-service-plan-form
GL Account: A general-ledger classification (number, title, description) used on services, add-ons and bundles. Not a connected ledger (false friend). Observed 216-gl-account-editor
Invoice Address: The office return address printed on invoices, statements, service notices and emails (P.O. box allowed). Separate from the physical location used for routing. Observed 200-office-invoice-address-editor
Month Closing / Locked Periods: Office closing date with a Close Month button; the Audit report keeps a Locked Periods Audit Log. Observed 217-office-preferences, 478-audit-locked-periods
Collections Stage: Not Sent / Pending / Sent on the Billing tab and in filters. The manual calls the default "Not Set", and the UI itself also shows "Not Set" in every Collections row while the Collections filter offers "Not Sent". It is not proven that they are the same stored value. Observed 452-customer-billing-populated, 506-collections-advanced; Documented, Billing tab manual
Mark Letter as Sent: A control on the invoice print preview. Not clicked; its effect is unknown. Observed 443-existing-invoice-print-preview
Transfer (Customer Card): Hands the open card to another user. It does not change the payer (false friend). Observed 435-populated-customer-overview; Documented, Overview manual
A/R Turnover: Average days until the full balance is paid. Documented, Overview manual; shown on 435-populated-customer-overview

How FieldRoutes does it

Creating an invoice

  • Automatic invoices from a subscription (observed state, not executed). The populated customer has one unpaid invoice labelled "Recurring Billing", created by "System", invoice date and due date 10/15/2026, with a system note dated 2026-10-16 and Appointment Date N/A. So scheduled billing creates invoices that are not tied to a visit. This one record does not prove that every recurring invoice is appointment-independent. 440-populated-customer-invoices, 441-existing-invoice-detail
  • Initial invoice (configured, untested). The first invoice follows the Initial Invoice setting: after initial completion, after agreement signature, on an initial billing date or by custom schedule. 437-existing-subscription-detail
  • Manual invoice (seen, not created). Customer Card > Invoices > + New Invoice asks for invoice date, amount, service type (Misc Service or a company service type) and the bill-to account, which defaults to the customer itself. 022-customer-new-invoice
  • Invoices from automation (configured, untested). An AR Trigger Rule can run "Create Invoices" with a fixed or percentage value and a service type. Its tooltip says the age, past-due and balance filters then apply per invoice, not per customer. Other AR actions (Send Email, Freeze) use the responsible customer's balance instead. 231-trigger-rule-action-editor, 244-trigger-action-email, 249-trigger-action-freeze

What an invoice holds (observed)

Invoice detail shows invoice date, due date, days to pay, appointment date, service address, billing account (separate fields), created by, PO number, notes and Additional Notes. Charges list the service line (service type combobox), amount, a Taxable checkbox, + Discount, + Add Ticket Item, and Production with the formula tooltip and a "Switch to Custom Production" control (the production input is disabled until switched). Then come Sub Total, Total Discounts, Tax, Total, and a payments block (+ Add Payment, Charges, Payments, Balance). Nothing was edited. 441-existing-invoice-detail

Invoice actions and output

  • The Actions menu offers Email Invoice, Print Invoice, Snail Mail Invoice, Delete Invoice and Credit Memo. Only Print was used. 442-existing-invoice-actions
  • Print Invoice renders a real document (observed). It shows company header and logo, customer and service address, invoice and account numbers, invoice date, a license heading (blank value, not read as licensing status), terms NET 0 / Upon Receipt, one service line with quantity, price and subtotal, subtotals, total discounts, taxes, invoice total, amount paid and amount due, an Additional Notes box and footer wording: "A finance charge of 1.5% will be made on unpaid balances after 30 days." and "National Emergency Poison Control: (800)222-1222" (a public hotline in the template, not personal data). "Mark Letter as Sent" was not clicked; nothing was printed, mailed or emailed. 443-existing-invoice-print-preview
  • The footer wording comes from the Invoice Footer Text and Statement and Invoice Footer Text settings. Group 8 Invoice Footer Text holds the poison-control line (invoices only); group 9 Statement and Invoice Footer Text holds the 1.5% finance-charge line (statements and invoices). The separate Service Notifications Notes / Caution Statements setting also ends with the poison-control line. The finance-charge text is template content, not a verified charge rule. 289-communication-section-8-editor, 290-communication-section-9-editor

Who pays (observed controls, documented rules)

  • Customer level: Default Bill To sets the payer for new invoices and subscriptions. The Select Billing Account dialog searches for another account; the populated customer pays for itself. 453-customer-bill-to-selector
  • Subscription level: each subscription has its own Billing Account and Auto-pay Profile (Customer Default here). 437-existing-subscription-detail
  • Invoice level: each invoice shows its Billing Account. 441-existing-invoice-detail
  • Documented: the Billing-tab manual says responsibility can be set at customer, subscription or invoice level, and subscription AutoPay overrides the customer default. Retroactive reassignment of existing invoices was neither documented nor tested.
  • Documented: linked properties stay separate accounts with their own subscriptions, invoices, payments and documents; a payment to one property does not settle the others. The commercial product page describes consolidated invoices or separate charges per service address. Linking is not a pooled ledger. Properties manual
  • A Business Contact or Additional Contact does not become a payer just by being a contact. The billing contact editor has Contact Reason "Billing". 454-customer-additional-contact-editor

Billing cadence and amounts (observed record)

The populated subscription bills Monthly, Next Billing 2026-11-15, net billing days 0, initial invoice timing set, and is serviced Every 90 Days. The recurring invoice summary shows a $120 charge and subtotal against $360 production; the initial invoice summary shows production, initial charge and subtotal. The billing-frequency tooltip says the ticket amount is per billing cycle and production is the normal service price, and that a Next Billing date in the past causes a charge within 24 hours (not tested). 437-existing-subscription-detail, 439-existing-subscription-lower

Service Plans and billing (documented, configuration observed)

A Service Plan has its own billing frequency and billing start/end dates; the tooltip says the last recurring bill is generated on the billing end date. The Service Plan manual says service and billing schedules are separate and that incomplete custom billing amounts can leave a balance due at plan end. Each round has its own service charge, discount and subtotal. No plan invoice was generated. 137-settings-service-plan-form, 138-settings-service-plan-round

Bundles (configured, untested)

A Bundle can use Bundled Billing with its own Bundle Billing Frequency (every 4 weeks, monthly, alternate monthly, quarterly, semiannual, annual or upon renewal) and its own recurring-billing start. GL can be reported at bundle level or at service-type level. The Service Type manual's Bundle examples talk about project packaging, while the editor offers recurring billing; this needs clarifying with the vendor. FieldRoutes' 2024 feature review says Service Bundles can be sold, scheduled and serviced as a unit and billed on a consolidated invoice (Documented, public vendor page; no bundle invoice was seen) (official-source checks). 141-settings-bundle-form, 142-settings-bundle-service

Consolidation (configured, untested)

The customer Billing tab has two checked options: "Include individual invoice numbers on Consolidated Invoices" and "Auto-consolidate Multiservice Appointment Invoices". The office can "Enable Manual Invoice Consolidation". No consolidated document was produced. The Convenience Payments manual says that plan does not work with consolidated invoices or Renewal Billing. 452-customer-billing-populated, 220-office-billing-preferences-editor

Statements (menus seen, nothing sent)

  • From Customer Card > Invoices, the Account Summary shows balance and age, Last Letter and Last Email (both "None Sent"), and Email / Snail Mail / Print statement controls. 010-customer-invoices, 440-populated-customer-invoices
  • From Billing > Accounts Receivable, the bulk Actions menu offers Send Message, Print Statements, Snail Mail Statements and Email Statements. The menu label itself says nothing about cost; the only price seen is the Account Statement Tear Sheet tooltip: snail-mail statements with a tear sheet include a return envelope and "an additional charge $0.20 per statement". Existing AR rows show statement status cells such as Undeliverable, Sending and Printing that the research did not cause. 513-receivables-actions, 042-accounts-receivable
  • Billing Letter Templates insert conditional text into statements. The page's help says they are inserted "based on criteria such as days past due and auto pay status"; the editor's actual fields are minimum/maximum days past due and Invalid Payment Method (No/Yes/Any; the list filter for the same field adds All, the default), up to 2000 characters, with placeholders for billing name, last service date, balance age and days overdue and line/bold formatting. Priority between overlapping templates was not tested. 204-billing-letter-templates, 205-billing-letter-template-editor
  • Automated statements: the Trigger Rule "Send Email" action can send an email statement or a new message (with "ignore contact preferences"); "Send Snail Mail" can send a letter or a statement. Fulfilment and cost were not shown. 244-trigger-action-email, 247-trigger-action-mail
  • A/R Hold Time (15 days residential and commercial in this account) delays re-sending a statement by the same method. The tear sheet option is No here. 285-communication-section-4-editor, 284-communication-section-3-editor

Prepayment offers (configured, untested)

Prepayment Discounts (empty list) and Prepayment Letter Templates (empty list) define offers to pay a plan in advance. Letters have editable Body and Closing; the preview says "Services Section NOT Customizable". Placeholders cover customer and address, office contact, prepay discount name/value/description, portal prepayment and upsell links, letter date, offer expiry and template name. Separate communication groups hold pre-pay email and snail-mail templates for new subscriptions and for renewals. The Prepayments report tracks offers sent. 335-prepayment-discounts, 336-prepayment-discount-editor, 337-prepayment-letter-templates, 338-prepayment-letter-editor, 339-prepayment-letter-preview, 087-report-prepayments

Billing data in other documents (configured, untested)

Contract-template placeholders keep service and billing addresses apart and include financial totals and plan rounds; a placeholder preview is not an issued contract (evidence 277). Renewal Notice variables include next billing date, balances and separate bill-to information; no notice was sent (343-renewal-notice-editor).

Account ledger (partly observed)

Account Balance Summary has Actions, refresh, a date range, a This Account / Responsible For switch, beginning and ending balance, and columns Item, Account #, Description, Invoice Amount and Payment. Presets: Today, Yesterday, This Week, Last Week, This Month, Last Month, This Year, Last Year, All History, Custom Range. Beginning and ending balance both read $120.00, matching the one unpaid invoice. With Today and with All History (01/01/1900 to 11/02/2026) the table stayed empty. In all three captures the Transactions switch is set to Responsible For (highlighted with a check mark, and the table is headed "Responsible For"), not This Account. So the empty table is the list of what this customer is responsible for on other accounts; no rows there is expected unless another account names this customer as its payer, and it says nothing about the customer's own ledger. The This Account view, with or without All History, was never captured, so the customer's own transaction history was not shown either way. 444-account-balance-summary, 445-account-summary-date-picker, 446-customer-historical-balance

Finding an invoice (observed)

Global search switches to "By Invoice" (label "Search invoice number") and returns an autocomplete card with customer, invoice number, amount due, address/contact and office, with keyboard navigation. No invoice was opened from it. Older notes that said "no result" are historical; current 528/529 files hold a result card. 527-global-invoice-search, 528-global-invoice-search-result, 529-global-invoice-search-button, 530-global-invoice-suggestions-typed, 531-global-invoice-autocomplete-result

Payments against invoices (see payments)

From the Invoices tab, + Add Payment offers Cash, Check, Card, ACH and Coupon/Credit; each can limit distribution to a customer, a subscription and which invoice to apply to first; Coupon/Credit adds a Write Off flag. Nothing was recorded. 023-customer-add-payment, 024-payment-cash, 028-payment-credit. Payment detail and allocation are in Payments and collections.

Reports

ReportWhat it shows / limit
Billing by Service Type 068-report-billing-service-type, chart 487-billing-service-chartWhat was invoiced and how much was collected, for a date. Group By service type plus two sub-groups (billing frequency, city, county and tax codes, customer source, division, GL account, invoice date/month/type, line item, office, PO number, region, sales rep, service bundle or category, technician, zip). Payment as-of date, Revenue Value vs Production Value, Write Offs (Either/Yes/No), include/exclude/only Service Plans and Bundles, Advanced Filters (not opened). Summaries: number of invoices, count and quantity of line items, billed amount, taxes, total invoiced, payments collected (%), tax collected, total collected. Chart "Billings Generated"; table columns Description, Invoices, Line Item Quantity, Total Collected, Tax Collected, Tax Invoiced, Payments Collected, Billed; page sizes up to 10000. Saved reports, Export to Excel. All zero here.
Line Items 084-report-line-itemsEvery charge on tickets for a date range, optional add-on codes. Accrual based, by ticket creation date (not the date the item was added); itemizes what Billing by Service Type groups under the main service. Totals: count, quantity, revenue. Empty.
Sales Tax 095-report-sales-taxDate, group by state/county/city, office, property type (all/commercial/residential); saved reports, Export to CSV. "Cash Hybrid": revenue and tax count when cash is applied to an invoice; prepayments count once invoiced; late payments count when received; coupons excluded (cash, check, card, ACH included). Points to Billing or Payments by Service Type for accrual or cash accounting.
Sales Tax (OLD) 094-report-sales-tax-oldStill in the menu. Group by state, county, county tax code or city tax code; per jurisdiction an accrual figure (tax collected out of tax invoiced for services in the period, rising as later payments arrive) and a "tax applied" cash/accrual hybrid figure. No export. All zero.
Payments by Service Type 088-report-payments-service-typePayments received, grouped like Billing by Service Type; see Payments and collections.
Prepayments 087-report-prepaymentsPrepay offers: filters date created, expiration, service plans, office; columns offer, plans, office, communication method, total value, discount, tax collected, payments collected, total offers, accepted base and upsell offers. Empty.

All show 0 for customers entered on the captured day. Counts are potential errors, not defects.

Dashboard money metrics that read invoices (vendor definitions, numbers not checked): Receivables Aging (invoice balance under 30 days is current, older is past due, plus balance of customers preferring monthly billing) 396-dashboard-metric-help-8; Recurring Billing (active recurring-billed subscriptions that paid their first bill, valued at the last paid invoice, normalized to monthly) 403-dashboard-metric-help-15; Revenue By Service (points to Billing by Service Type) 405-dashboard-metric-help-17; Revenue By Month (total and monthly average) 406-dashboard-metric-help-18; Recurring Annual Revenue (excludes initial service), Debit Balance (active customers' balance vs revenue in the past 30 days, can exceed 100%) and Collections % (Accrual, no help captured).

What the research did not prove

  • No invoice was created, edited, emailed, mailed, printed, deleted, credited or consolidated. Only Print preview rendered, and "Mark Letter as Sent" was not clicked.
  • No statement was generated or sent; billing letter priority and rendering are untested. Existing AR status labels (Undeliverable, Sending, Printing) were already there and prove no delivery.
  • Tax: the Taxable flag sat next to zero tax; no rate calculation, ZIP update, exemption or legal tax result was tested. The Sales Tax reports are zero-value; the "Cash Hybrid" text is the vendor's explanation, not advice.
  • Production formula units and rounding are not defined; Custom Production was not tried. Days to Pay (-18) sign and formula are unverified.
  • Who pays: no alternate payer was selected; retroactive reassignment, the scope of Assign New Billing Account, and a cross-customer responsible-payer ledger were not shown. Account Balance Summary was only captured with Responsible For selected (empty, which is plausible); the This Account view and its All History ledger were never shown.
  • The past-Next-Billing "charge within 24 hours" rule, initial-invoice timing, Recurring Billing Starts, Service Plan billing end and plan-end balance were not exercised. No Plan or Bundle invoice was seen.
  • Custom Schedule edge cases (missing fifth weekday, leap year, holidays, time zones) are unknown. Frequency Options units differ by type.
  • Prepayment Discount has no visible percent or currency unit; how it applies is unclear.
  • GL Accounts is a classification list only; no journal, ledger mapping or accounting export. QuickBooks events are a rule surface, not a connection. Month closing and locked-period corrections were not run.
  • Credit Memo and Delete Invoice outcomes, and the meaning of "Year In Full", "Monthly Plan", "YIF" and "Sales Rep APay", are unknown.
  • Add-on amount sign convention (fees vs discounts) and Dynamic Pricing formulas were not inspected.
  • Vendors (253-vendors) is a plain name list; what uses it (for example invoices or purchasing) is not shown.
  • Report states: Billing by Service Type, Line Items and Prepayments loaded with zeros; Unpaid Initial and Expiring PO Numbers results are blank; Payments by Service Type was still loading; Advanced Filters were never opened. Audit counts are for customers entered on the captured day only, and the date-filter meaning is unverified.
  • Wording differences to confirm with the vendor: Collections Stage "Not Sent" (Billing tab and filters) vs "Not Set" (manual, and the Collections list cells in the UI); Bundle as project packaging (manual) vs recurring Bundled Billing (editor); subscription billing frequency labels (Monthly, Quarterly...) vs Customer Search labels (Every 30/90 days, Upon Renewal); Sales Tax (OLD) and Sales Tax both in the menu with different methods.
  • The assessment's acceptance questions for this block stay open: reconcile realistic service charges, prepayments, partial payments, credits, refunds, failed payments, taxes and consolidated invoices to the bank and the general ledger; show month-end corrections and who may make them; prove prices, discounts, taxes, production value and invoice timing across first service, later rounds, late enrollment, missed rounds and cancellation; show which configuration changes affect existing subscriptions versus new ones.
  • Billing outside the US: the manual excludes non-US billing addresses; country choices in forms do not prove international support.

Ideas for Our CRM

Agent proposals, not decisions
  • Proposal: keep service cadence and billing cadence as two separate fields on the agreement, as FieldRoutes does.
  • Proposal: store the payer at customer, agreement and invoice level, with a clear rule for which one wins, and show it on every invoice.
  • Proposal: keep billed amount, production value and contract value as separately named measures, and state each report's basis (accrual by invoice date, cash, hybrid) on the report.
  • Proposal: allow invoices without a visit (scheduled billing) and show "no visit" explicitly instead of a blank.
  • Proposal: support non-US billing addresses and tax from the start, since this is the FieldRoutes gap the assessment calls out.
  • Proposal: decide early which payment plans work with consolidated and renewal invoices, to avoid the conflicts the Convenience Payments manual documents.
  • Proposal: treat statement inserts, footers and re-send delays as statement settings, kept apart from general message templates.
  • Proposal: test month closing and post-close corrections before go-live, with permission control over who can correct.

Official FieldRoutes manuals

Read in the research (Documented):

  • The Customer Card: Billing Tab (published 2026-05-21): US billing addresses only; responsibility at customer, subscription or invoice level; subscription AutoPay override; Assign New Billing Account vs Copy Billing Info; Max Monthly Charge as a rolling 30-day cap; seven-day buffer on preferred billing date; processors hold card data.
  • Adding a Service Type Subscription (updated 2025-12-16): one-off or recurring subscriptions with editable defaults; scheduling separate from invoicing, payer and payment source; multi-unit quotas; Bundle wording.
  • Adding a Service Plan Subscription (updated 2026-08-31): separate service and billing schedules; plan-end balance when custom billing undercovers charges.
  • Convenience Payments: Overview (updated 2026-08-27): conflicts with Renewal Billing and consolidated invoices; one-time add-ons bill separately; exclusion affects statements.
  • Properties: Merge and Link: linked properties keep separate invoices and balances.
  • Customer Card Overview: A/R Turnover and Transfer.

Indexed only, not read: Invoices Tab, Apply a Payment, Subscriptions Tab, Max Monthly Charge, Accounts Receivable, Credit memo and convenience payment access controls.
