FieldRoutes in Reporting and analytics

FieldRoutes calls it: Dashboard, Currently, Office Reporting

From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks

In FieldRoutes, reporting has three layers. The home Dashboard shows about 25 metric cards. Most cards have their own date range (others are labeled "Currently"), and each has its own definition of what it counts. The Reporting menu holds a catalog of 44 Office reports and five more categories (Inventory, Locations, Technicians, Office Stats, Form Lookup). Most other areas (Customers, Sales, Billing, the time clock) add their own report pages too. These reuse the same set of report controls: filters, Refresh, saved reports, and CSV, Excel, PDF or print output. The research captured 35 screenshots that belong to this block: the dashboard and all 24 metric help dialogs, the Reporting landing page, the Audit, Alerts and Change Log reports, and Office Stats. Another 130 captures from other blocks are also relevant here, mostly reports about one business area. This page covers reporting itself. Reports about one area are described on that area's page and are only listed here. All of this is from the admin view of the account on 2026-11-02. It is read-only: no report was exported, no saved report was stored and no figure was checked against the underlying records.

In short

  • Every metric has its own definition. The vendor states it, and the research did not check it. Each dashboard card has a help dialog. The dialog says which records the card counts, which date the date filter uses, and what it leaves out. Cards with similar names count different things: active customers versus active subscriptions, contract value with or without the initial service, revenue generated versus cash collected. Cards with dates each have their own date range, and some cards show "Currently" instead, so the dashboard does not show one reporting period. Observed in 386-dashboard-resumed and 388-dashboard-active-customer-help through 411-dashboard-metric-help-23.
  • The catalog is broad, but the account showed little data. The Office menu lists 44 reports covering operations, retention, finance, data quality, technicians and state regulators (061-reporting-office). Most landing pages showed blank or zero results for the captured day. So the research shows how wide the catalog is, not how good the analysis is.
  • Reports share one set of controls. Almost every report has date filters, Refresh and an export button: CSV on most pages; Excel, PDF, print, PRL or ADP on some. The richer reports also have saved reports with a name, a User/Office/Global scope and a Default flag. Global was disabled in every captured state. None of these controls was used.
  • "Audit" means checking data quality. It is not a financial or security audit. The Audit report runs 19 checks with a count for each, for example subscriptions without an initial service, bad geocodes or duplicate customers. The page says the counts are potential errors (065-report-audit). The trail of who changed what lives elsewhere: the system-wide Change Log (072-report-change-log), and the Customer Access and AR Oversight reports in other blocks.
  • Report permissions separate viewing from acting. Access Control Profiles have a Reports group. It holds View permissions for each report, separate Edit/Actions permissions for financial reports (these cover selections, exports and statements), bulk actions started from reports, Create/Edit Saved Reports, Save Reports Globally, and one permission for each dashboard widget (203-access-control-profile-editor, 551-owned-user-access-control).
  • Some report pages change data. Commission has Record Payments. Inventory pages have Update Inventory. Customer Restore has a Restore button on each row. Expiring Cards and Expiring PO Numbers have Send Messages. The research ran none of them.

Each capture is a saved screen state from the FieldRoutes account on 2026-11-02. A screen shows what controls exist; it does not prove what happens when they are used.

Their words for this block 23

Dashboard / Overview: Home screen of metric cards ("widgets"). Access to the whole dashboard is the View Web Dashboard permission; each card has its own permission. Observed 386-dashboard-resumed, 203-access-control-profile-editor
Currently: Label on a dashboard card that shows current state rather than a date range. Observed 001-dashboard
Office Reporting: The Reporting > Office catalog of 44 reports. Observed 061-reporting-office
Office Stats: A Reporting category that counts the activity of office staff (sales, alerts, tasks, emails, notes and more) for each employee. It measures activity, not customer outcomes. Observed 498-office-stats-table
Key Indicator / Stats to Include: In Office Stats (and Technician Stats): the main measure the view focuses on, and the extra counts shown. Observed 496-office-stats-revisited
Show Report Table / Show Office Cards: Toggle between the card view and the table view in Office Stats. Technician Stats uses "Show Baseball Cards" for the same thing. Observed 498-office-stats-table, 495-technician-stats-loaded-table
Audit: False friend. A data-quality checker that "identif[ies] common data entry mistakes". It is not a financial, security or compliance audit. Observed 065-report-audit
Potential Errors (also Missing Documents, Missing Emails, Customers, Appointments, Locked Periods): The count unit printed on each Audit tab. The rows are candidates to review, not confirmed mistakes. Observed 065-report-audit
Audit Sales / Audit New Sales: A separate data-quality check on newly sold customers, under Customers. It also warns that customers it flags can be valid. Observed 458-customer-audit-sales (Lead, sales and estimate)
Change Log Report: A system-wide change history, filtered by date, office, who changed it (ChangedBy) and record type (Entities). Observed 072-report-change-log
ChangedBy: Trigger Rule / System Change: Besides employees, a change can be credited to an automation rule or to the system itself. Observed 072-report-change-log
Saved reports (Enter Report Name, User / Office / Global, Not Default / Default, Save, Save as New, Show Saved Filters): Reusable named filter sets. The scope sets who sees them. Default marks the preset that loads first. Not saved in research. Observed 428-customer-saved-report-controls, 496-office-stats-revisited
Export to CSV / Export to Excel / Export To PDF / Print / Export to PRL / Export to ADP / Write to Excel: Output buttons on report pages. Which one a page has varies. No file was produced. Observed (see Settings)
Advanced Filters / Basic Filters: Expands or collapses the extra filter rows on a report. Observed 482-notes-advanced-filters
Toggle Chart: Switches a report between its chart and table. Observed 487-billing-service-chart
Collections % (Accrual): A dashboard card showing amount collected, total owed, sales and tax. It is the only card whose help dialog was not captured, so its definition is unknown here (not proof that it has no help). Observed 386-dashboard-resumed
Contract Value: False friend. On a customer's subscription it explicitly includes the initial service. On the dashboard, Avg Contract Values excludes the initial-service price. Observed 399-dashboard-metric-help-11; populated customer
Debit Balance: False friend. Not an accounting debit. It is the total balance owed by active customers divided by revenue from the past 30 days, and it can go above 100%. Observed 404-dashboard-metric-help-16
Monthly Services: False friend: the same name is used in three places. The dashboard card, the Office report, and the Job Pool count due work with different rules for potential customers and pending cancellations. Observed 391-dashboard-metric-help-3, 484-monthly-services-revisited
Revenue Value / Production Value: Choice in Billing by Service Type: billed money versus service production. These are different measures. Observed 068-report-billing-service-type (Invoicing and billing terms)
Reports (permission group): False friend. It holds view rights, but also bulk actions run from reports: Add/Remove Flags, Freeze, Send Message, Update Subscription Price, Update Preferred Technician. Observed 203-access-control-profile-editor
Composite Stat: A named metric built from at least two primary stats with targets and weights, used in the Sales Leaderboard. The editor did not work in capture. Observed 257-composite-stat (Lead, sales and estimate)
A/R Turnover: The average number of days until full payment, shown on the Customer Card. Documented, Customer Card Overview manual

How FieldRoutes does it

Dashboard metric definitions (observed help text, not reconciled)

The dashboard shows charts, summary numbers, refresh and chart icons and a ? help on each card. Some cards have date inputs; others say Currently. Some help dialogs describe chart slices as drill-downs into reports. No drill-down was tried. Each definition below is the vendor's stated rule, read from its help dialog. No number was checked against records.

Customer, subscription and service cards

CardStated definitionWhat to watchCapture
Active CustomersCurrently active accounts in three groups: Active Recurring (recurring schedule plus at least one service), Potential (recurring plan, no initial service yet) and Active NON-Recurring (no recurring plan). The date filter selects customers created in the period.A current-state group filtered by creation date. It does not count historic customers, and it is not the active count at the end of the period.388-dashboard-active-customer-help
Active SubscriptionsActive subscriptions by service type: recurring subscriptions with at least one service, plus those with recurring billing but no completed service yet.Counts subscriptions, not customers. The help does not say which date the filter uses. Per the help, a slice opens the customer report (not tested).389-dashboard-metric-help-1
Cancellation ReasonsWhy subscriptions were canceled. Defaults to last month and can be widened with dates and Refresh. Excludes One Time subscriptions and potential subscriptions that never had a completed appointment. The card shows a fraction, but its base is not defined. Because of the two exclusions it differs from the Cancellation Subscription report.390-dashboard-metric-help-2
Monthly ServicesRecurring services only (no initials) in four groups: OverDue, Unscheduled, Scheduled subscriptions and Completed Appointments. Each subscription counts once, however many times it is due.Mixes subscription groups with a count of completed appointments. Excludes potential customers. Excludes pending cancellations except their completed services. Date windows below.391-dashboard-metric-help-3
Technician RatingsAverage ratings of technicians that customers submit through the portal in the period. A slice leads to the Customer Feedback report.Weighting, response count and handling of unrated work are not stated. Zero stars cannot be told apart from no ratings. This is not a verified NPS.392-dashboard-metric-help-4
Completion %Status of appointments in the period that are still on a route, excluding cancellations and reschedules: Serviced (completed), Pending (not yet completed), Not Serviced (No Show). The base is on-route appointments only, not all due work. Mixed-service appointments and empty periods are not explained.393-dashboard-metric-help-5
Stops Per RouteTotal and average appointments per route, split into Regular Services, Re-Services, Starts (initial services) and Other. The summary total and average under the chart count Regular Services only. Whether empty routes count is not defined.394-dashboard-metric-help-6
AutoPay PercentageActive customers split into Valid AutoPay (actively charged), Invalid AutoPay (on AutoPay but payment details missing or invalid) and Not on AutoPay."Valid" is the card's label for a customer, not a charge that succeeded. The help suggests an Invalid Payment Method flag and a billing letter; no automatic action was seen.395-dashboard-metric-help-7
Average RatesAverage recurring ticket charge per subscription type. Counts only active subscriptions with a completed initial service and a set recurring charge. The date filter selects subscription creation. Not appointments or collections. Leaves out subscriptions without a set rate. Frequency normalization is not stated.398-dashboard-metric-help-10
Avg Contract ValuesAverage yearly contract value for the five most used service types, plus a weighted average across all types. Same eligibility and date filter as Average Rates. Excludes the initial-service price. The weighting and annualization math is not given. The top five shown are not the whole population.399-dashboard-metric-help-11
Average Customer AgeActive customers grouped by years as a customer, as a retention view. The start event, year bucketing and averaging are not stated. This is not a full cohort analysis.400-dashboard-metric-help-12
Subscription SourcesShare of new subscriptions by source in the period. Counts only subscriptions still active that had a first service or recurring billing.Leaves out subscriptions that were sold and then dropped. Not leads or customer sources. Source fallback rules are not stated.401-dashboard-metric-help-13

Monthly Services date windows, as generated on 2026-11-02 (as recorded, not a general rule): OverDue = due 5/01/26 through 10/31/26 with no future appointment scheduled. Unscheduled = due 11/01/2026-11/30/2026 with no appointment scheduled. Scheduled = due 5/01/26-11/30/2026 and on a future route, including overdue work not yet serviced. Completed = recurring appointments due 11/01/2026-11/30/2026 and completed this month, including completed services of pending-cancellation customers. The help contrasts this with Job Pool defaults. The Job Pool excludes pending-cancellation customers but includes potential customers. This card does the reverse. So filters must match before the counts can be compared (391-dashboard-metric-help-3).

Financial cards

CardStated definitionWhat to watchCapture
Collections % (Accrual)Shows collected amount, total owed, sales and tax, with date inputs. No help dialog was captured. The base, accrual date and adjustments are unknown.386-dashboard-resumed
Receivables AgingMoney owed split by age. An invoice balance under 30 days old is current; everything else is past due. Also shows the balance of customers who prefer monthly billing. Points to Billing > Accounts Receivable. This is the card's own aging rule, not contract terms. Credits and the 30/60/90 boundaries are not defined.396-dashboard-metric-help-8
Payment TypesRevenue collected in the period by payment method. Card and ACH are flagged as AutoPay opportunities. Points to Billing > Payment History.Cash collected, not revenue generated. Refunds, reversals and net/gross treatment are not stated.397-dashboard-metric-help-9
Frozen w/ Stored AcctCount of frozen customers who still have a stored payment account. Warns that some gateways charge per stored account. The fee warning depends on the processor and does not prove this account pays it.402-dashboard-metric-help-14
Recurring BillingActive recurring-billed subscriptions that paid their first bill, valued at the last paid invoice. Non-monthly frequencies are normalized to a monthly summary; the pie wedge shows the actual value. Not the same as service schedules, annual value or this month's collections. The help's suggested customer-report filters add "completed initial = yes"; this was not reconciled with the definition.403-dashboard-metric-help-15
Debit BalanceTotal balance of active customers compared with revenue generated in the past 30 days, shown as a ratio. Points to Accounts Receivable. Can exceed 100%. The exact math and the revenue, tax and credit rules are not documented. Not a standard accounting ratio.404-dashboard-metric-help-16
Revenue By ServiceRevenue generated per service type in the chosen dates. Points to the Billing by Service Type report. The accrual or payment event, tax and credits are not stated. Not a count of services.405-dashboard-metric-help-17
Revenue By MonthRevenue generated each month, with the total and monthly average over the range. Points to Billing reports. How zero or partial months enter the average is not stated.406-dashboard-metric-help-18
Recurring Annual RevenueAnnual recurring revenue by service type, excluding initial services. The annualization formula and eligibility are not stated. Do not borrow Recurring Billing's rules.407-dashboard-metric-help-19

Measurement cards (square feet and linear feet are separate)

  • Subscribed Meas. SF: square feet under active measured subscriptions in the calendar year, by service type (top seven, the rest grouped as Other). Outputs: Total Service Types, Subscribed Meas. SF, Total Active Meas. SF (with add-ons), Inactive Meas. SF (without add-ons), Total Inactive Meas. SF (with add-ons). "Inactive" covers inactive subscriptions, skipped services and opted-out services (408-dashboard-metric-help-20).
  • Completed Meas. SF: completed measured services in the chosen dates, by service type, with calendar-year wording. Outputs: Completed Services, Completed Meas. SF, Total Completed Meas. SF (with add-ons) (409-dashboard-metric-help-21).
  • Subscribed Meas. LF: the linear-feet version, with the same top-seven-plus-Other and inactive rules. The help names its third output "Total Meas. LF", but the dashboard shows "Total Active Meas. LF". The help's last sentence wrongly says square footage (410-dashboard-metric-help-22).
  • Completed Meas. LF: completed services and linear feet, with and without add-ons, by service type. Read from its own dialog (411-dashboard-metric-help-23).
  • For all four: how a chosen date range interacts with calendar-year scope, how repeat services count and how missing measurements are handled were not verified.

How to read the dashboard (from dashboard.md): it shows workload, qualified customer and subscription groups, collections versus revenue generated, payment readiness, tenure, sources and measured area and length. Blank or zero charts reflect this account's data under the shown filters; they do not mean a feature is missing. Some chart labels show only the top categories while the summary includes more. Monthly Services labels overlap on screen (386-dashboard-resumed).

Audit: data-quality screening (observed)

Trigger: open Reporting > Office > Audit, set Start/End Date, press Refresh. The page says: "Use this to identify common data entry mistakes. This has been updated to only show problems related to customers entered during the dates selected so that you have a more manageable report." Each of the 19 checks is a tab that shows its count. Selecting a tab shows its rows, with a search box and sortable headers. Export to CSV covers the report. Counts at capture time, with the unit as printed:

What the research learned about the checks:

  • A zero-count tab shows no table, so its columns are unknown. Only the three populated tabs show columns, a search box and sortable headers.
  • The no-initial tab lists subscriptions, and the same customer can appear more than once. Some of its rows show an Initial Service Date, so the label alone does not prove that every row lacks an initial appointment.
  • The multiple-subscriptions tab can list legitimate multi-service customers as well as records that need review. Neither tab proves a defect.
  • The geocode tab suggests checking the office geocoordinates when many rows appear. This is guidance, not a diagnosis.
  • The monthly-billing tab says missed billing may come from an old date or another error. Its zero does not prove that billing ran.
  • The help says the date filter selects customers by entry date. In the capture, Start and End were both 11/02/2026, yet the populated rows showed other due and service dates. Those are not creation dates. The real link between the filter and the rows was not tested, so it is unverified.
  • Untested: CSV content, search and sort, opening a source record, fixing a row and the count clearing afterward.

Change Log (observed setup, empty result)

Reporting > Office > Change Log Report is a system-wide change history (072-report-change-log). Filters:

  • Date range and Offices.
  • ChangedBy: every employee, plus "Trigger Rule" and "System Change".
  • Entities: about 100 record types. Among them: Customer, Subscription, Appointment, Route, Payment, Payment Profile, Ticket, Employee, Access Control Profiles, Service Types, Service Plans and Rounds, Contract and Form Templates, Products (Chemicals), Conditions, Termite Reports, Equipment, License, Time Clock Entries and Settings, Preferences, Deleted Cards and Deleted ACH Accounts, and payment-gateway profiles.

The page has Refresh and Export to CSV. Below the filters the capture shows only a blank area for the captured day: no table and no "no data" message. So the change-tracking scope is visible, but no change record was seen here. Record-level history also appears on the Customer Card Admin tab (014-customer-admin, Customer account).

Alerts report (observed setup only)

Start Date, End Date, Refresh and Export to CSV. The page does not say what counts as an alert, and the result area was blank (063-report-alerts).

Office Stats (observed after a retry)

The first visit rendered only the heading (120-reporting-office-stats). A later visit showed the filters (496-office-stats-revisited). After Refresh it showed an office header, a roster of staff cards with activity counts and daily averages, and a Staff Performance Chart grouped by Day, Week or Month (497-office-stats-results). Supplements show the lower cards and the chart baseline. Show Report Table turns it into a table of 12 employee rows plus a total and footer, with sortable columns: Employee, # of Office Sales, # of Alerts Completed, # of Pending Cancellations, # of Sent Emails, # of Tasks Completed (498-office-stats-table). It counts staff activity, not customer outcomes, quality, unique contacts or productive effort. Attribution, weekend handling and daily-average math were not tested. Technician Stats is the field-staff counterpart and is described in Technicians and licenses.

Saved reports, exports and other shared mechanics (observed controls, untested outcomes)

  • Saved reports. The panel has Enter Report Name, a User/Office/Global scope (User selected, Global disabled), Not Default/Default, Save, Save as New, and Show Saved Filters with "No Saved Reports". Seen on AR Oversight, Billing by Service Type, Payments by Service Type, Renewals, Sales Tax, California WDO, Technician Stats, Office Stats, Customer Search (428-customer-saved-report-controls), Sales Report, Time Clock Report (383-time-clock-report-advanced) and the Sales Leaderboard (as "Enter Leaderboard Name"). Nothing was saved. Persistence, sharing and the reason Global is disabled are unknown. The current admin user does hold Save Reports Globally (551-owned-user-access-control), yet the selector was still disabled. A new profile showed that permission as disabled (203-access-control-profile-editor). What it depends on is not established.
  • Exports. Most Office reports have Export to CSV. Billing/Payments by Service Type, AR Oversight, Commission, Inventory reports and the Email Dashboard have Export to Excel. The California School & Day Care report has Export To PDF. State Chemical has Print Report, and its New York format adds Export to PRL. The WDO reports have Export. The Sales Service Report has Print. The Time Clock Report has Export to Excel and Export to ADP. Customer Search has an Actions > Write to Excel (All Pages) option. No file was produced, so formats, columns and permission effects are unverified.
  • Refresh first. Several reports showed nothing until Refresh, and some first visits stayed blank. Later visits loaded Route Reporting, Device Exceptions, Monthly Services, Customer Restore, Technician Stats and Office Stats. Forecast summary mode and Frozen Customers stayed indeterminate.
  • Run limits printed on pages. Cancellation: up to 6 months per run. Customer Access: a 20,000-log limit. AR Oversight: a 25,000-log limit, with Include IP Address defaulting to No. These limit how much one query returns. They do not prove how long data is kept.
  • Date bases differ by report, and the pages say so. Average Contract Rates dates by initial customer setup and includes only currently active subscriptions. Average Time On Site separates technician-reported time from check-in/out time. Line Items uses the ticket creation date. Retention compares when customers were added with when they canceled. Sales Tax uses a "Cash Hybrid" method. These are different measures, not interchangeable labels. Details are on the Service agreements and renewals, Technicians and licenses and Invoicing and billing terms pages.

What the research did not prove

  • No formula was reconciled. Every dashboard definition is the vendor's help text. No card total, drill-down or changed period was checked against records. No help dialog was captured for Collections % (Accrual), so its definition is unknown.
  • Dashboard settings were not reached. The gear did not open a panel (387-dashboard-settings). Whether cards can be reordered, hidden or set to one shared period is unknown.
  • No export, saved report or default was executed. File formats, columns, permission effects and why Global scope is disabled are unknown.
  • Most results were empty. Current-day ranges gave blank or zero tables. Alerts and Change Log showed no rows. A historical range with data is needed to judge grouping, drill-down and traceability.
  • Audit semantics are unverified. It is not checked whether the date filter really selects by customer entry date. CSV content, opening a record, fixing a row and the count clearing afterward are untested. "Employees with Images Saved" counts in "Appointments", and what it measures is unclear.
  • Indeterminate report states remain: Forecast summary-table mode shows headings only (486-forecast-summary-tables). Frozen Customers stays blank without a zero message (491-frozen-payment-accounts-revisited). Audit New Sales showed no result after Refresh (459-customer-audit-sales-results). Knocking map did not load (536-knocking-report-map). Composite Stat Add Metric did not open an editor (259-composite-stat-metric). The Time Clock Report had no rows.
  • Advanced Filters not yet opened on Average Time On Site, Billing by Service Type, Cancellation Subscription, Commission, Payments by Service Type, Renewals and Service Plan Omitted Services.
  • Office Stats attribution (who gets credit for an activity), weekend handling and daily averages are untested. Broken employee-image icons remain on the cards.
  • Change Log and audit retention are unknown. The printed log limits apply to a single query, not to how long data is kept.
  • Only one role and one office were seen. No other role, office or module scope was tested, and no vendor-wide list of hidden report pages exists.
  • Mutating report actions were not run: Commission Record Payments, Send Messages, Save/Save as New/Default, Customer Restore, inventory updates and form transitions. Report scheduling was not seen.
  • No reporting manual was read. The research did not read any of the official reporting manuals, so nothing on this page is "Documented" except the Customer Card's A/R Turnover.

Ideas for Our CRM

Agent proposals, not decisions
  • Proposal: show every metric's definition next to it: which records, which date field, what is excluded and the base of any percentage. FieldRoutes does this in help dialogs and in on-page notes, and the research names it as the strongest design lesson.
  • Proposal: keep similar measures clearly apart in names and definitions: customers versus subscriptions, revenue generated versus cash collected versus production value, contract value with or without the initial service.
  • Proposal: if dashboard cards keep their own date ranges, label each card's period visibly so the screen is not read as one period.
  • Proposal: keep "data-quality screening" (Audit-style candidate lists) separate from "who did what" (change log and access logs). They do different jobs. Let a user open a flagged record and see the count clear after a fix.
  • Proposal: consider reusable saved reports with a User/Office/Global scope and a Default flag. Validate sharing and permission rules first; this is a concept to test, not a confirmed requirement.
  • Proposal: separate "view a report" from "act from a report" (export, bulk change, statements, payments) in permissions, as FieldRoutes does for financial reports.
  • Proposal: for a technician or staff scorecard, separate scheduled, reported, actual and inferred measures, and show the attribution rule before the score is used for pay or reviews.
  • Proposal: acceptance test for any vendor: trace each decision-critical metric to its records, dates and exclusions; reconcile dashboard against report cohorts; run a historical populated range with filtering, export and drill-down.

Official FieldRoutes manuals

No reporting manual body was read in the research. These official pages were only indexed (title and URL from the catalog, content not verified):

Read manuals that touch this block:

  • The Customer Card: Overview: defines A/R Turnover as average days until full payment.
  • Access Control Profiles: editing one user's permissions while a shared profile is assigned changes that profile for everyone on it, which includes report permissions. Use Custom Profile for an exception.
