FieldRoutes in Customer account

FieldRoutes calls it: Customer Card, Checked Out Customer, Transfer

From a read-only look at the FieldRoutes account on 2026-11-02 and its official manuals. Each line ends with its evidence: Observed in the account, Documented in a manual, or not tested. Capture numbers link to the screen below. All of FieldRoutes across the 20 blocks

In FieldRoutes the customer account is the Customer Card: one dialog with 12 tabs that holds a customer's contact data, service location, subscriptions, billing, notes, documents, visits, invoices, linked properties, inspection findings, equipment and admin history. Around it sit the Customers area (Customer Search, a filterable customer report with bulk actions), the global New Customer intake form, and a set of Admin dictionaries that shape the account (sources, divisions, flags, contact types, note types, cancellation and hold reasons). The research has 72 screenshots placed here and 53 more from other blocks that touch the account. It covers a sparse test customer (all 12 tabs, captures 003-022), one populated customer with two active subscriptions (captures 435-454), the intake form in four variants (370-373), Customer Search in full (002, 412-434), the customer dictionaries in Admin, and the customer-related reports (cancellation, restore, access log, notes, audit checks). All of it was read-only: no customer was created, saved, merged, frozen, messaged or charged.

In short

  • One card, many records. The Customer Card is the hub of the account, but the customer, its subscriptions, appointments, invoices and payments are separate records. One customer can hold two active subscriptions of the same service type (Observed, 436-populated-customer-subscriptions).
  • Opening a card locks it. Opening a Customer Card "checks it out": a Checked Out Customer banner says nobody else can view or edit the customer until you finish. Close releases it (Observed in the saved page text of 003-customer-profile and 435-populated-customer-overview; the banner itself is not visible in those screenshots). Timeouts, crash recovery and a second user's view were not tested.
  • Contact, service location and payer are three different things. The Info tab holds the service contact and address, the Billing tab holds billing correspondence, and Default Bill To names the account that pays new invoices and subscriptions. Additional Contacts and reusable Business Contacts never become payers just by being contacts.
  • Many small classifications, each with its own meaning. Source and Sub-Source (acquisition), Division (segment), Generic Flags (operational warnings), status markers (Paid In Full, Pending Cancel, Prefers Paper and others), Residential/Commercial and Single Unit/Multi Unit/Structures are all separate fields, each fed by its own Admin dictionary.
  • Account lifecycle is Active, Frozen, Pending Cancel, Removed. Account cancellation is separate from subscription cancellation in filters, reports and reason lists. Freeze, Bulk Freeze, Remove and Restore all exist; none was executed.
  • Customer Search is a report builder, not a search box. It has six filter groups, a column catalog of about 150 outputs, List By Customer/Subscription/Service Round, saved reports, a map and bulk actions with explicit scopes (all matching records, current page only, rollback of a prior batch).
  • The history is strong but partial. The Admin tab shows an access and field-change history. Separate reports show employee access (Customer Access), system-wide changes (Change Log) and removed customers (Customer Restore).

Each capture is a saved screen state from the FieldRoutes account on 2026-11-02. A screen shows what controls exist; it does not prove what happens when they are used.

Their words for this block 26

Customer Card: The account dialog with 12 tabs. The vendor describes it as holding contact, appointment, invoice and subscription information; technicians can use related information on Mobile. Read it as the hub of one account, not 12 separate records. Observed 003-customer-profile; Documented (Customer Card Overview, service report guide)
Checked Out Customer (checkout): Opening a card locks it: until you finish, nobody else can view or edit that customer. An access-history entry records it. False friend: this is not appointment check-in/check-out and not Fleet Pro geofence check-out. No public manual explains the lock, auto-release or timeout. Observed 435-populated-customer-overview 014-customer-admin; source checks
Transfer: Hands the checked-out card to another administrator and closes it. False friend: it does not move the customer, property, payer, balance or ownership. Documented (Overview manual); button Observed, not used
Customer Since: Customer creation date. Documented; Observed label 435-populated-customer-overview
Account Age: A separate day value on Overview. Its basis and rounding are not established; do not assume it means tenure. Observed 435-populated-customer-overview
A/R Turnover: Average days until full payment of the account balance. Calculation window not verified. Documented (Overview manual)
Next Service: Due-date wording. It can be earlier than today, so it is not necessarily a booked future visit. Observed 435-populated-customer-overview
Active Customers (dashboard): Currently active accounts, split into Active Recurring (recurring plan plus at least one service), Potential (recurring plan, no initial service yet) and Active Non-Recurring (no recurring plan). Its date filter picks customers created in the period. Observed help 388-dashboard-active-customer-help
Prospect / Lead / Active customer (Marketing Pro): In the Marketing Pro integration guide: a prospect has no active subscription or performed service, a lead has an open lead attached, an active customer has an active subscription or performed service. These definitions serve marketing segmentation; use them with care as a general lifecycle model. Documented (Marketing Pro starter guide)
Freeze / Frozen: An account (or subscription) lifecycle state meaning inactive. Not the same as an A/R statement hold (a delay before another statement goes out by the same method) or a subscription hold (Place On Hold). Observed (Admin tab Freeze, Account Status filter, trigger actions)
Pending Cancel: Account state between active and canceled. A checkbox on the card (disabled on new intake), a filter, a trigger status and a report type. Observed 370-new-customer-form 069-report-cancellation
Remove / Customer Restore: Remove takes a customer record away; Customer Restore lists removed customers with a Restore button. Observed 490-customer-restore-revisited; Remove permission in Access Control Profiles
Merge: Permanent absorption of one Customer Card and its history into a master card; it cannot be reversed. Different from linking. Documented (Properties manual); button Observed 014-customer-admin
Linked Properties: Another Customer Card linked to this one. Each keeps its own subscriptions, invoices, payments and documents; it is not a pooled ledger. See Service location. Documented (Properties manual); Observed 011-customer-properties
Source / Sub-Source: Where the customer came from (acquisition attribution). Exists separately at customer, subscription and lead level. False friend: the tenant's source named "Conditions" has nothing to do with the Conditions tab (inspection findings). Observed 316-customer-sources 370-new-customer-form
Division: A code plus description used to segment customers. No geography or money fields. Observed 320-division-editor
Generic Flags (Customer Flags): Short coded warnings for staff, for example an animal or access cue or a ladder being needed. The same catalog also serves appointments, equipment, subscriptions, regions and affiliate networks. Observed 329-generic-flags
Red Notes / Yellow Notes: Caution notes shown as their own note types and output columns. An office setting decides whether everybody can edit red notes. Observed 333-note-types; Office Preferences
Note Type / Note Category: A note type classifies one note or system event; a note category groups several types for viewing. A type can sit in more than one category. Observed 331-note-categories 333-note-types
Additional Contact: Another person or company on the account, with a Contact Reason (for example Billing) and an Additional Contact Type (for example Other, Spouse). Observed 454-customer-additional-contact-editor
Business Contact: A reusable partner, referral source or often-used additional contact. It never appears in the customer list; you need a Customer Card to schedule and bill. Observed help 363-business-contacts-clear
Authorized Contacts (Office Info): False friend: people allowed to make decisions about the company's own FieldRoutes account (contract, finances). Not a customer contact role. See FieldRoutes hub. Observed (assessment)
Default Bill To / Billing Account: The account responsible for paying invoices; Default Bill To applies to new invoices and subscriptions. SELF means the customer pays itself. See Invoicing and billing terms. Observed 453-customer-bill-to-selector
Switch Over / Sales Rep APay: Status checkboxes on the card with no explanation in the UI. Meaning unverified. Observed 370-new-customer-form
ECA (Reset ECA, ECA Email): Appears as an Admin-tab button and an output column; the Customer Account filter has "Signed Electronic Consent Agreement". The acronym is not spelled out on these screens. Observed 014-customer-admin 429-customer-column-and-grouping-controls
Account Type / Unit Type: Account Type is Commercial or Residential. Unit Type is Single Unit, Multi Unit or Multi Structure in Search, while intake says "Structures". Equivalence is not tested beyond the labels. Observed 412-customer-account-filters 373-new-structures-customer-form

How FieldRoutes does it

Creating a customer (observed form, save untested)

  1. Trigger: the office user clicks New Customer in the top bar. A Create a New Customer dialog opens with a single Basic Information tab. 370-new-customer-form
  2. The user fills identity (first/last/company name), two phones with extensions, email, Source and Sub-Source (Sub-Source stays disabled until a source is picked), property class, unit mode, Sub-Property Type, Special Scheduling text, SMS/Email/Voice preferences (all checked by default, matching Admin defaults), flags, status markers, service address, map code, square feet, tax rate and Division. An embedded map sits on the form.
  3. The default is Residential Property + Single Unit. Switching to Commercial Property, Multi Unit or Structures does not change the visible fields: no company-only fields, no unit table, no structure tree or template picker appear before saving. 371-new-commercial-customer-form 372-new-multiunit-customer-form 373-new-structures-customer-form
  4. Result: Save would create the customer. It was never pressed, so required fields, duplicate detection and what the new card looks like are untested. See Commercial accounts and Service location for the property side.
  5. Related permissions (Documented by labels in the profile editor): Create Customers; Create Customers on Mobile (may incur extra charges); Assign Office Zip Codes.
  6. Geography rule (configured, enforcement untested): Office Zip Codes sets which ZIPs an office claims and whether it may create accounts in unclaimed areas. Sharing ZIPs works only when both offices set Share Zip Codes to Yes. 261-office-zip-code-editor

Opening and working in the card (observed)

  1. Trigger: the user opens a customer from Customer Search, global search or History.
  2. The card opens as a dialog and checks out the customer. The Checked Out Customer banner (in the saved page text; not visible in the screenshots) warns that others cannot view or edit it. An access-history entry records the checkout. 435-populated-customer-overview 014-customer-admin
  3. The user moves between the 12 tabs. Overview shows Customer Since, Account Age, service counts (Completed, Subscription, Re-Services, Other), Contract Remaining per subscription, Last Completed, Next Service, Recent Re-services, Account Balance and A/R Turnover, plus prompts to collect the balance, offer AutoPay and collect an email.
  4. Footer actions: Save, Close, Schedule (enters a "Currently Scheduling" mode and opens Recommended Routes, see Scheduling and appointments), Transfer.
  5. Result: Close releases the checkout. The capture owner verified release, and the next capture (455) had no banner or dialog. Untested: a second user trying to open a locked card, timeout, crash recovery, and what Transfer does in practice.
  6. The checkout also happens when you reach the card another way, for example opening a failed payment from Billing > Payment History opens it inside the Customer Card. 510-payment-history-detail-attempt
  7. A global search result alone does not show that a customer was checked out: the research treats lookup and checkout as separate actions, and search does not prove checkout. 532-global-customer-search-result

Recording notes, tasks and messages on a customer (observed editors, nothing saved or sent)

  • The Notes tab lists notes by category (All Notes, Appointment Notes, Billing Notes, Cancel / Reinstatement, Convenience Payments, Customer Contacts, Customer Replies, General Notes, Important system notes, Marketing Activities, PO Numbers, Red Notes, SMS, Voice and Email, System Notes, UnCategorized) with a search and buttons Add Note, Add Task, Send Email, Send SMS, Send Voice. 007-customer-notes
  • Add Note: a dated, typed note (about 20 types, for example Billing Notes, Cancel Request, Phone Call, Location Instructions, Red Note) with two visibility selectors: visible to technicians, visible to the customer. Buttons Cancel, Finish In Window, Save, Delete. 015-customer-add-note
  • Add Task: a follow-up task tied to the customer with Status (Pending/Completed/In Use/Urgent), Due Date, Assigned To (Anyone, any office user or technician), Category and text. 016-customer-add-task The global Tasks dock has its own task list with a Customer column; whether tasks made on the card appear there was not shown. Creating a task from the dock was attempted but no editor opened. 377-global-task-editor
  • Send Email / Send Voice: composers with an "Ignore Max Per Minute" option that bypasses the office's per-minute delivery limit. Send SMS was greyed out and a banner reported an SMS/text registration problem. Details belong to Customer messages and marketing.
  • Untested: whether every action is logged automatically as a note, whether internal notes stay internal, and whether tasks reach their owner.

Documents on the account (observed prompts, nothing generated)

Contacts and payer on the account (observed, nothing saved)

  • Info holds the service contact and address and an Additional Contacts list (add a new contact or pick one from Business Contacts). 004-customer-info
  • The Billing tab has its own billing name, company, address, phone and email, separate from the service fields, plus Default Bill To and its own Additional Contacts list. 452-customer-billing-populated
  • The additional-contact editor separates Contact Reason (Billing shown) from Additional Contact Type (Other shown) and has a Business Contact checkbox whose effect was not tested. 454-customer-additional-contact-editor
  • Documented (Billing tab manual): responsibility for paying can be set at customer, subscription and invoice level; Assign New Billing Account changes the responsible customer/Default Bill To; Copy Billing Info copies correspondence data between linked accounts; the tab supports US billing addresses only. The money side is described in Invoicing and billing terms and Payments and collections.
  • Business Contacts are created in Admin, separately from any card. Whether edits to a Business Contact flow into the cards that use it is unverified. 364-business-contact-editor

Account lifecycle: active, frozen, pending cancel, canceled, removed (mostly configuration; no transition executed)

  • Statuses seen. Account Status filter: Active Customers; Active, Recurring Customers; Active, Potential Customers; Active, Non-Recurring Customers; Active, No Active Subscriptions; Frozen Customers; Any Status. Customer Status trigger: Active, Any, Created, Frozen, Pending Cancel. AR trigger customer status: Active, Frozen, Pending Cancel. Notes report: All, Frozen, Active. A status filter is not proof that a transition is permitted.
  • Freeze. The Admin tab has Active and Freeze controls. Customer Search's Actions menu has Bulk Freeze (all matching records) and Bulk Freeze RollBack (reverses a prior batch). A Trigger Rule action "Freeze Customers" freezes the account with a cancellation reason and message; its tooltip says it also freezes subscriptions on other accounts this customer is financially responsible for (Documented in UI, untested). 432-customer-report-actions-menu 249-trigger-action-freeze
  • Auto freeze. Office Preferences has "Auto Freeze Subscription/Customer If Initial Appointment Canceled" (runtime untested). The tenant's test customer shows four canceled Initial Service visits. 009-customer-appointments
  • Cancellation reasons. Cancellation and Hold Reasons (about 30, for example Agreement Dispute, Bad Debt, Bankruptcy, Competitor) classify account and subscription cancellations and holds. They are separate from appointment cancel reasons. System reasons such as "Canceled via API" have no edit link. Office Preferences sets a default reason for Customer Cancellations and for Subscription Cancellations (including Unspecified); auto-selection is untested. 272-cancellation-hold-reasons
  • Reports. The Cancellation report lists customers who canceled or are pending cancellation (max six months per run). The vendor distinguishes canceled customer accounts (Cancellation) from canceled subscriptions (Cancellation Subscription). Cancellation Reinstatement, judging by its name and filters only (inference: the captured body was empty), lists canceled or frozen customers who were later reinstated; it has a Days Frozen slider whose selected range showed 7 to 30 (the slider's own limits are not shown). Retention counts canceled service subscriptions, not customers: a customer with two canceled subscriptions shows twice, and changes to As Needed or one-time are left out. Its Retention Calendar help still speaks of "customers added" per period versus when they canceled, so the page's own wording mixes the two units (092-report-retention page text). Frozen Customers w/ Payment Accounts stayed blank twice. 069-report-cancellation 558-cancellation-reinstatement-clear 092-report-retention 491-frozen-payment-accounts-revisited
  • Remove and restore. Remove is an Admin-tab button and a permission. Customer Restore lists removed customers (nine rows, each with a Restore button; none pressed). 490-customer-restore-revisited
  • Merge and Move are Admin-tab buttons and permissions. Merge is documented as permanent; Move is not explained in the inspected screens.

Finding customers in bulk and acting on them (observed controls; no run, save, export or action)

  1. Trigger: the user opens Customers. Customer Search shows Active Customers by default: 134 entries, Show 500, one page, columns Customer ID, Last Name, First Name. 002-customers
  2. The user sets filters in six groups (Customer Account, Subscription, Customer Location, Billing Account, Billing Address, Service Appointment), picks output columns and the row level (List By), then clicks Run Report.
  3. In the attempt (431) the list did not change after Run Report, even with List By = Subscription; the cause is unknown. 431-active-subscription-customer-report
  4. The result can be shown on a map (Toggle Map) or narrowed with the table search. Table search narrowed the rows to one customer while the footer still said 134, so the footer is not a match count. 433-customer-report-map 434-existing-multiple-subscriptions-search
  5. Actions applies bulk work with explicit scopes (see Settings). Saved Reports stores a setup by name and scope.
  6. Reading rules (Observed, not tested by querying): many yes/no selectors start at N/A, which means "not used as a criterion", not "No". Numeric fields offer =, ≠, >, <, ≥, ≤ and on some fields Between (x,y). Date fields come in pairs and were all blank. Active accounts and active subscriptions are selected separately. Read each paired date inside its own group (Account Date Canceled differs from Subscription Date Canceled).
  7. Explicit caveat on screen: Customer Flags and Generic Flags filters work correctly only when List By is Customer. 422-customer-account-filters-lower

Data quality checks on customers (observed reports)

  • Audit (Reporting > Office) finds common data-entry mistakes for customers entered in the chosen dates. Of its 19 panels, the customer ones showed: Potential Duplicate Customers 0, Active Customers without a document 0, without a phone 0, without an email 0, Customers with bad geocode 4, with differing addresses 0, with differing e-mail addresses 0, with multiple subscriptions 8, with cards on file but not on auto pay 0. Counts are potential errors, not confirmed mistakes; multiple subscriptions are often legitimate. The help also says many bad geocodes may mean the office's coordinates are wrong. Both Start and End showed November 2, 2026 while rows showed other dates, so the date rule is unverified. 065-report-audit 468-audit-duplicate-customers 471-audit-bad-geocodes 475-audit-multiple-subscriptions
  • Audit Sales / Audit New Sales (Customers area) checks newly sold or added customers (Sold Between dates, Audit Level). It can check contact, pricing and sales-rep data more strictly and warns that flagged customers can be valid. After Refresh no result table and no "no issues" message appeared; outcome unknown. 458-customer-audit-sales 459-customer-audit-sales-results See Lead, sales and estimate.

Account history and access (observed)

  • Admin tab Access History shows who opened (checked out) the card, appointment status changes by the system API, and field-level changes (for example phone, tax rates, bill-to account). 014-customer-admin
  • History dock lists recently opened customers with timestamps for quick return. It is not a full audit trail; whether opening an entry checks out the customer was not tested. 375-history-dock
  • Customer Access report: employee activity on customer records by date range and employee; columns date changed, customer ID, employee name, record class, reference ID, field key, old value, new value; limited to 20,000 logs per run. One row was shown. 074-report-customer-access
  • Change Log Report: system-wide change history filtered by date, office, ChangedBy (employees plus "Trigger Rule" and "System Change") and about 100 entity types including customers. Empty for the captured day. 072-report-change-log
  • AR Oversight is a separate audit of financial activity (25,000-log limit, optional IP address). See Payments and collections.
  • The stated per-query limits are retrieval limits, not proof of how long history is kept.

Dashboard measures about customers

  • Active Customers: see Terms. Shares are among the currently active population, filtered by creation date, not historic active state.
  • Average Customer Age: active customers grouped by years as a customer; start event, bucketing and formula not stated.
  • Cancellation Reasons: subscription cancellations, default last month, excluding One Time subscriptions and potential subscriptions that never had a completed appointment, so it differs from the Cancellation Subscription report.
  • AutoPay Percentage: active customers split into Valid AutoPay, Invalid AutoPay, Not on AutoPay.
  • Frozen w/ Stored Acct: frozen customers still holding a stored payment account; some gateways charge per stored account.
  • Subscription Sources: new subscriptions by source, counting only those still active that had a first service or have recurring billing.

What the research did not prove

  • Lifecycle. No customer was created, saved, frozen, unfrozen, canceled, removed, restored, merged, moved or transferred. A complete populated lifecycle (sale, recurring service, change, re-service, payment, cancel) was not shown. The first test customer is sparse; the populated customer (435-454) covers Overview, Subscription, Invoices, Appointments, Documents and Billing only; populated Info, Notes, Properties, Conditions, Equipment and Admin states are not established for it.
  • Checkout. Second-user access, timeout, crash recovery and lock recovery are untested. No public manual explains the customer-record lock.
  • Intake. Required fields, validation, duplicate detection and what Multi Unit or Structures add after saving are unknown. Sub-Property Type had no definitions. The Map field's meaning is inferred.
  • Customer Search. Run Report did not change the output (431); subscription-level rows, cross-subscription matching and child-billing aggregation are unproven. Saved reports, exports, bulk actions, permissions and match rules (wildcards, AND/OR, date inclusivity) are untested. Some screenshots show only the top of internally scrolling panels; the text files hold the full lists. The column selector screenshot is closed, so it is not the full catalog (text has it).
  • Meanings not explained on screen. Switch Over, Sales Rep APay, ECA, Move, Products (Admin tab), Year In Full, Monthly Plan/YIF, "Company" vs "Company Name", Missed on subscription cards, Account Age basis.
  • Business Contacts. Persistence, export format, permissions and whether updates flow to linked cards are unverified. The Business Contact checkbox on the additional-contact editor was not tested.
  • Communications on the account. SMS was unavailable (registration error banner). No note, task, email or voice message was saved or sent. Task creation from the global dock did not open an editor (377).
  • Reports. Frozen Customers w/ Payment Accounts (083, 491) stayed blank; Audit New Sales (459) showed no result; Cancellation, Reinstatement, Retention, Notes and Change Log showed zero or blank bodies for the captured day. Audit counts are screening, not confirmed defects, and the audit date rule is unverified.
  • History. Audit completeness and retention are unknown; stated per-query limits are not retention periods.
  • Permissions. No second-role session; Freeze, Remove, Move and own/other boundaries are labels, not tested enforcement.
  • Global search. The customer result card (532) is clipped on the right; opening a result was not tested.
  • Modules. Marketing Pro is not enabled on the customer (M Pro Sync tooltip). This does not mean other documented products are licensed or unlicensed.
  • Manuals. The Info Tab manual could not be opened; Notes, Documents, Admin, Subscriptions, Appointments and Invoices tab manuals were indexed but not read.
  • Ingestion gap. The project's knowledge-hub thread reports 19 screenshots that were never imported and showed as empty slots; this is a gap in ingestion, not proof they do not exist. Earlier v1 summaries named areas (Customer Portal, Fleet Pro, Marketing Pro) at limited depth and need reconciling with the current account. channel context
  • Open questions (from the assessment): Can an office user resolve a customer request from one connected history? What happens when dispatch, billing and a technician need the same card at once? Can each commercial site have its own instructions, access contact, PO, scope and billing treatment while the office keeps one coherent view? Can staff safely tell preview from send and editing from saving?

Ideas for Our CRM

Agent proposals, not decisions
  • Proposal: keep customer, subscription, appointment, invoice and payment as separate records under one account view, as FieldRoutes does, so one customer can hold several subscriptions of the same service type.
  • Proposal: if we lock a record while someone edits it, show who holds it, release it on timeout, and let an admin recover it; FieldRoutes' exclusive checkout blocks even viewing and its recovery is unproven.
  • Proposal: keep service contact, billing correspondence and the paying account as three distinct fields, and say in the UI which one a change affects.
  • Proposal: keep account cancellation and subscription cancellation as separate events with separate dates and reasons, and keep freeze, subscription hold and statement hold as clearly named, separate states.
  • Proposal: give every bulk action an explicit scope label (all matching, this page, rollback of a batch) as FieldRoutes does, and add a preview of affected records before running it.
  • Proposal: avoid unexplained markers (Switch Over, Sales Rep APay, ECA); every flag or checkbox should carry a definition.
  • Proposal: name things so they do not collide (FieldRoutes has a source called "Conditions" next to a Conditions tab, and "checkout" for both record locks and visits).
  • Proposal: offer reusable contacts (partners, referrers) that are not customers, but define whether edits propagate to accounts that use them.
  • Proposal: provide data-quality checks like FieldRoutes' Audit (duplicates, missing phone or email, bad geocode, differing addresses), with a clear date rule and links to fix each row.
